Position : Executive Administrative Assistant

Location :Wayne, PA (HYBRID - 2 days REMOTE)

Duration : 6 Month Contract to Hire

Tuesday - Thursday ONSITE

Hours: Monday - Friday, Normal Business Hours

MUST HAVES:
  • Authorized to work in the US | 4-5+ years of Administrative experience
  • Experience working in an mid/enterprise level environment
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Powerpoint)

Description:

An Administrative Assistant is responsibleinensuring smooth office operations by managing clerical tasks, coordinatingschedulesand providing administrative support to teams and executives. The role involves managing office functions, overseeing vendorcoordinationand ensuring compliance with corporate policies.

Core Responsibilities
  • Oversee day-to-day office operations, ensuring seamless coordination between departments and addressing administrative requirements efficiently.
  • Manage executive and departmental calendars, schedule meetings, book conferenceroomsand coordinatelogistics, including travel arrangements and refreshments as needed.
  • Handle incoming calls, emails and official correspondence, ensuringtimelyresponses andmaintainingprofessional communication with internal and external stakeholders.
  • Prepare memos, reports, meetingminutesand presentations whilemaintainingan organized filing system for critical documents,contractsand office records.
  • Research, evaluate and negotiate with vendors for office supplies,equipmentand outsourced services, ensuring cost-effective and high-quality procurement.
  • Assistin tracking departmental expenses, preparingbudgetsand ensuring resource allocation aligns with company policies and financial planning.
  • Organize office events, employee engagement activities and team-building initiatives, handlinglogistics, venueselectionand vendor coordination.
  • Assistin office space planning,relocationsand workstation allocations, ensuring a well-organized and efficient working environment.
