Executive Administrative Manager

The Executive Administrative Manager is a key member of the Office of the General Counsel (OGC), reporting to the Senior Vice President and General Counsel, and providing direct support to the Deputy General Counsel. This role oversees and coordinates thedaily operations and administrative functions of the Office of the Senior Vice President and General Counsel.

Key responsibilities include managing complex scheduling and planning; coordinating internal and external communications; supervising administrative staff across both the University Park Campus (UPC) and Health Sciences Campus (HSC); overseeing purchasing and departmental personnel administration; and developing and implementing office procedures. The Executive Administrative Manager also leads special projects and ensures the maintenance and functionality of office facilities and equipment.

This position exercises discretion and independent judgment while providing high-level support to optimize executive efficiency. The role also contributes to both short- and long-term departmental planning, evaluates operational effectiveness, and implements process improvements as needed. This exempt position will require support after traditional business hours and occasionally on weekends.

Compensation: $129,000.00 - $150,000.00

Location: Los Angeles, CA (Downtown, Los Angeles)

In this role, the Executive Administrative Manager will:

  • Provide administrative support to Senior Vice President and General Counsel, Deputy General Counsel and Office of General Counsel.
  • Take point on supporting any hiring for non-attorney staff.
  • Collaborate with the Senior Business Officer (SBO) and assist with the preparation of the annual budget.
  • Collaborate with the Deputy General Counsel and Admin IT to manage the document management system.
  • Facilitate communication between the Senior Vice President and General Counsel with trustees, senior officers, and other high-level stakeholders regarding confidential matters to ensure appropriate follow-up is completed.
  • Triage issues and prioritize projects and questions that need to be addressed by the Senior Vice President and General Counsel, ensuring that all such matters are handled with the utmost discretion and sensitivity.
  • Participate in business continuity planning.
  • Take on Annual Performance Evaluations of non-attorney staff.
  • Manage Special Projects.
  • Perform other related responsibilities as requested and when necessary. The University reserves the right to add or change duties at any time.

Preferred Qualifications:

  • Master's degree
  • 10 years of experience
  • Excellent communication and organizational skills to address, prioritize and coordinate multiple problems, issues and activities concurrently.
  • Experience working for a high-level executive at a law firm or corporate environment.
  • Exemplary interpersonal skills and ability to work effectively with individuals at all levels of an organization.
  • Strong reputation for discretion, integrity, judgment, responsiveness, and common sense.

Minimum Qualifications:

  • Bachelor's degree; Combined experience/education as substitute for minimum education
  • 7 years
  • Experience in managing administrative operations of a multi-faceted department.
  • Thorough knowledge of management principles, executive and corporate protocol, and applicable laws/regulations.
  • Demonstrated excellent written and oral communication skills.
  • Demonstrated excellent interpersonal skills.

The annual compensation range for this position is $129,000 - $150,000.
