Location

Our campus is located at 1601 Maple Street, Carrollton, GA 30118.

Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.

Job Summary

This position resides in the Office of the Provost and is responsible for supporting upper leadership. This includes maintaining their calendars, scheduling meetings and communication with peers. This position will ensure that the office runs effectively and efficiently by monitoring supplies and equipment, etc. This position will coordinate the faculty marching order for all graduations and biannual compliance training; prepare travel arrangements for Leadership, and follow-up with expense statements. Responsible for Curriculog and Acalog and assists in data entry for the Faculty Records Coordinator. This position provides support for the Provost Administrators, and serves as a backup to the Executive Secretary to the Provost. Supervises graduate and student assistants. Handles all academic affairs communication platforms and webpage edits, and assists with strategic planning. SACSCOC Accreditation duties involve ensuring institution program files are maintained accurately, ensuring all approvals are received, maintaining specialized accreditation files, assist with the logistics of the on-site visit.

Responsibilities

1.

Supporting leadership by maintaining calendars, scheduling and organizing meetings. Foundation Account - monitor spending and budget, provide monthly reports and balance to the provost, document transactions, maintain compliance with the foundation policies and guidelines. Graduation marching order and correspondence with faculty -responsible for organizing and scheduling the faculty marching in each ceremony on graduation day. Communicate to faculty marshals, faculty and deans, date, time and order for the three ceremonies per graduation.

Arrange travel for office and group travel Greet Visitors, file, answer phone, process paper flow, purchases Back up for Executive Secretary to the Provost , assist Faculty Records Coordinator Responsible for Curriculog and Acalog

Inventory and Asset management- responsible for year end purchases for all of Academic Affairs. This includes asset verification and distribution for academic support purchases. Maintains annual renewals and inventory for the Office of the

Provost.

Required Qualifications

Educational Requirements

High School / GED

Required Experience

Three years experience in an administrative office setting supporting leadership. Must have excellent interpersonal, written, and verbal communication skills. Demonstrated knowledge of MS

Office, Outlook email and calendar. Software to include word, excel, power point, etc.

Proposed Salary

$55,000 annually. Paid on a monthly basis.

ABILITIES

Physical Requirements: Lifting up to 15lbs Office Environment - Work normally performed in a typical interior work environment.

This position is responsible for meeting deadlines and interpreting policy that affects students, faculty and staff. Meeting deadlines affects employees pay, vendor pay and correct reimbursements.
