Frazer, a leading builder of emergency medical vehicles, is currently seeking an Executive Administrator to join our team. The Executive Administrator at Frazer reports to the C-Suite and provides high-level, multi-faceted administrative support to the CEO and President, ensuring the effective use of executive time and facilitating productive interactions with internal and external stakeholders. This role operates with a high degree of autonomy, discretion, and professionalism, independently initiating and implementing processes to manage complex projects, information, and people while supporting strategic priorities and organizational effectiveness.

This position is expected to actively live out Frazer Core Values while working with Frazer employees, vendors, and customers to help achieve team, department, and corporate goals. Responsible for learning and reinforcing safe and proper work procedures while actively following Frazer Safety programs and other policies outlined in the Employee Handbook.

What Does a Week in the Life of the Executive Administrator Look Like?
  1. Provides comprehensive administrative support to the CEO, President, and leadership team, including proactive calendar management, prioritization of meetings, coordination of competing demands, and ensuring the right internal stakeholders are present for each engagement.
  2. Plans, coordinates, and prepares materials for executive meetings, board meetings, and key business engagements, including agendas, presentations, and briefing documents. Captures real-time meeting notes and consolidates action items for distribution to attendees following each meeting.
  3. Tracks and follows up on action items assigned during leadership meetings, ensuring timely completion and accountability. Proactively surfaces overdue items to the appropriate owners.
  4. Manages travel arrangements for executive leadership, including hotels, rental cars, and itineraries. Coordinates travel logistics for leadership visiting the Houston facility.
  5. Coordinates end-to-end logistics for customer and vendor visits, including conference room setup, agendas, catering, and ensuring the appropriate internal team members are present. Serves as the primary on-site point of contact and represents the executive team for all visiting guests.
  6. Serves as a liaison between executive leadership and internal/external stakeholders, fostering positive and strategic relationships across all levels of the organization.
  7. Prepares facilities and conference rooms for meetings and company events, including arranging seating, AV equipment, and connectivity. Coordinates food and catering for internal meetings, customer visits, and company events, including managing reservations, dietary needs, and timing.
  8. Conducts research, data collection, and information gathering on behalf of the executives; prepares summaries, reports, and recommendations to support decision-making.
  9. Coordinates quarterly board meetings, including scheduling, logistics, preparation of materials, and documentation of formal meeting minutes.
  10. Independently manages special projects and initiatives, tracking milestones, deadlines, and deliverables to successful completion.
  11. Handles highly sensitive and confidential information with discretion, sound judgment, and professionalism.
  12. Anticipates executive needs and proactively resolves issues to ensure seamless daily operations and workflow efficiency.
  13. Utilize advanced technical and business expertise to support complex administrative, operational, and strategic functions.
  14. May direct, coordinate, or deploy support staff or other administrative resources as needed.
Secondary Duties:
  1. Assists with development and improvement of administrative processes, systems, and best practices to enhance efficiency and effectiveness.
  2. Supports internal communications initiatives and executive correspondence.
  3. Supports document organization and naming conventions across Google Shared Drives to ensure consistency and accessibility.

Required Education and Experience:
  • Bachelor's degree required
  • Minimum of 7 years of related executive administrative experience supporting C-suite leaders
  • Demonstrated ability to work autonomously on advanced, complex business or technical initiatives
  • Proven experience managing executive calendars, meetings, and complex travel arrangements
  • Advanced proficiency with office productivity tools and enterprise systems
Preferred Education and Experience:
  • Experience supporting both a CEO and President or multiple C-suite executives
  • Background in a corporate, manufacturing, or technical environment
  • Experience leading or coordinating administrative staff or resources
  • Exposure to board-level governance and executive reporting
  • Experience coordinating customer or vendor visits, including logistics, hospitality, and on-site hosting

Of course, we didn't forget the salary... Frazer offers competitive pay and this role will start with a salary between $109,000 - $144,000 annually depending on education, certifications, and experience.

Work Schedule

The Executive Administrator will work Monday - Thursday 7:00 AM - 4:30 PM, Friday 7:00 AM - 11:00 AM. Occasional evening/weekend work may be needed. Work schedules may change to accommodate production needs.
