Executive Administrator – Banking Operations & Executive Support

Our client is seeking a highly organized, professional, and service-oriented Executive Administrator to provide executive-level support to the CEO and leadership team. This position plays a critical role in ensuring operational excellence, supporting corporate governance activities, coordinating board and committee functions, and maintaining smooth administrative operations across the organization.

The ideal candidate is a detail-oriented professional with exceptional communication skills, strong organizational abilities, and the ability to manage confidential information while working independently in a fast-paced banking environment.

Key Responsibilities
Executive & Administrative Support
  • Manage complex calendars and schedules for executive leadership.
  • Prepare professional correspondence, reports, presentations, and executive communications.
  • Coordinate travel arrangements, meeting logistics, appointments, and expense reporting.
  • Organize internal and external events, executive meetings, and special projects.
  • Provide outstanding customer service to internal and external stakeholders.
  • Assist departments with administrative support and special assignments.
Board & Governance Support
  • Coordinate Board of Directors and committee meetings.
  • Prepare agendas, meeting materials, minutes, and supporting documentation.
  • Maintain corporate governance records and regulatory documentation.
  • Support annual shareholder meeting logistics and proxy-related activities.
Employee & Organizational Support
  • Assist with onboarding new employees, including ordering welcome materials and coordinating new hire communications.
  • Schedule and coordinate employee training programs and orientation sessions.
  • Maintain Business Continuity contact lists and related documentation.
  • Coordinate employee engagement initiatives such as:
    • Flu shot clinics
    • CPR certification programs
    • United Way campaigns
    • Employee recognition events
    • Retirement and anniversary celebrations
Qualifications
Education & Experience
  • High School Diploma or equivalent required.
  • Minimum of 3 years of executive administrative, office administration, banking, or related experience.
  • Previous experience supporting executives, senior leadership, or board functions preferred.
Preferred Banking Knowledge
  • Familiarity with banking products and services.
  • Exposure to client care, customer service, or banking operations environments.
  • Understanding of regulatory documentation and governance processes is a plus.
