POSITION TITLE: Executive Administrative Assistant to Curriculum

REPORTS TO: Directors of Elementary and Secondary Curriculum

TERMS OF EMPLOYMENT: Administrative Staff - 12 months - Class A (260 days) with benefits according to the LEA Unit D collective bargaining agreement. 40 hours per week.

July 1, 2026 start date. FY26 salary scale may change based on completed negotiations.

JOB GOAL:

The Employee will perform a variety of routine and complex administrative, clerical, financial and other duties to support the operations of the department, assisting department heads, coordinators of Literacy, Mathematics, Social Studies and Science.

ESSENTIAL FUNCTIONS

  • Provide customer service, receiving calls, visitors, and scheduling appointments
  • Budget management for all accounts
  • Requisition the purchase of supplies and monitor the delivery, distribution and payment to vendors
  • Liaise with vendors
  • Coordinate with facilities department for shipping and receiving of materials
  • Tracking of curriculum materials, maintain detailed records of locations and amounts of curriculum materials
  • Track mileage for directors and other personnel
  • Coordinate workshops including attendance, catering, materials, certificates and other logistics
  • Assist with request to attend (RTAs) including registration, travel, conference registration and reimbursement
  • Perform a variety of related clerical, administrative, tracking and record keeping duties in support of the department
  • Receives and coordinates all curriculum materials from schools and maintains organization of materials in storage; maintains organization of digital curriculum materials
  • Assist with managing district Google Calendar, district academic calendar, and district meeting calendar
  • Supports operations of federal grants as needed
  • Maintains organization of homeschool requests, including sending approval letters to families and schools, scheduling consultation appointments, requesting updates from families etc.
  • Perform special projects as needed
  • Perform a variety of related duties
  • Other duties as assigned

EDUCATION AND EXPERIENCE

High school diploma or equivalent and 1 - 3 years of experience in administrative, clerical, financial or secretarial work, preferably in a school environment; or any equivalent combination of education, training, certification and experience.

Must have knowledge of department regulations, policies, programs and operations; and knowledge of office management principles and practices, computer systems, word processing, spreadsheet, and database software.

Ability to establish and maintain effective and harmonious working relationships with the public, officials and department personnel; ability to work independently in an efficient manner; ability to communicate effectively in written and oral form; ability to establish and maintain a record keeping systems; ability to operate a telephone and standard office equipment; ability to manage multiple tasks in an efficient manner; ability to deal tactfully with disgruntled people.

Skill in operating computers and applicable word processing; excellent customer service skills. Must have advanced record keeping, bookkeeping, secretarial, detailed organization, communication and customer service skills.

WORK ENVIRONMENT:

Work is performed in an office environment. The majority of work is performed in a moderately noisy work environment, with frequent interruptions.
