Job Title: Executive Assistant 3 -
Location: Birmingham, AL 35203
Duration: 3 years
Work Schedule: The schedule is hybrid, in office Monday - Thursday, remote Friday.
Pay range: $33.00/HR ON W2
Key Responsibilities
- Provide high-level administrative support to executives and senior management.
- Independently manage and prioritize complex executive calendars, appointments, meetings, and schedules.
- Coordinate domestic and international travel arrangements, including transportation, accommodations, and detailed itineraries.
- Prepare, draft, edit, and proofread executive-level correspondence, reports, presentations, and communications.
- Handle confidential information and sensitive documents with the highest level of discretion and professionalism.
- Plan and execute high-profile executive events, meetings, and special projects.
- Oversee executive-level projects, ensuring timely completion and effective coordination of deliverables.
- Answer and screen phone calls, emails, and inquiries, directing them to the appropriate parties as needed.
- Serve as a key point of contact and liaison between executives, employees, internal teams, external partners, and other stakeholders.
- Learn, utilize, and maintain proficiency with relevant software, technology, and tools used for executive support and administrative tasks.
- Supervise, mentor, and provide guidance to junior administrative staff.
- Stay current with industry trends and emerging technologies related to executive support and administrative services.
- Required:
- 3+ years supporting General Manager/Director-level leaders or above
- Expert Outlook calendar management
- Travel and expense management
- PowerPoint and Excel proficiency
- Strong executive communication skills
- Demonstrated discretion with confidential information
- Highly Preferred:
- Associate or Bachelor's degree in either Business Administration, Communication, Management, or Office Administration
- Nice to Have:
- Certified Administrative Professional (CAP)
- Professional Administrative Certification of Excellence (PACE)
- Project Management fundamentals/certification
