About the Job

Provide administrative support to two Vice President level leaders who contribute to functional strategy.  Exercise a high level of confidentiality, tact, and diplomacy to support the department/area with limited supervision.  Familiarity with a variety of organization concepts, practices, and procedures.  Ensuring duties are completed accurately and delivered in a high quality and timely manner.

What You’ll Do

  • Perform a variety of office maintenance and administrative functions; manages schedules and business travel, maintains supplies, prepares invoices, and monitors expenses/budgets, takes minutes, etc.
  • Identify efficiencies in processes and procedures.
  • Coordinate department meetings/town halls/committee meetings and events; prepares agenda, materials, etc.
  • Prepare and provide information needed; prepare reports, collect and analyze information, prepare presentations, etc.
  • Assist in the employee experience by coordinating employee events, team communication, and onboarding/orientation to the department.
  • Work on or potentially lead projects as requested.
  • May provide work direction to other administrative or temporary staff.
  • Other department specific duties as assigned.
  • Maintains strict confidentiality in handling materials and sensitive information.


What You’ll Bring to the Role

  • Associate’s degree or equivalent combination of education and experience required
  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)
  • 5–8+ years of progressive administrative or executive assistant experience, including direct support of senior leaders (e.g., VP or above preferred)
  • Demonstrated experience managing complex calendars, travel, meetings, and departmental operations in a fast-paced environment
  • Experience supporting projects, department initiatives, or cross-functional coordination efforts
  • Experience preparing professional presentations, reports, and executive-level communications
  • Ability to manage data, track expenses, and support reporting needs
  • Executive Support & Judgment: Ability to apply discretion, prioritize competing demands, and act independently in a VP-facing environment
  • Organization & Planning: Strong ability to manage multiple priorities, deadlines, and logistics with high attention to detail
  • Communication: Excellent written and verbal communication skills; able to draft materials and interact effectively across levels
  • Confidentiality: Proven ability to handle sensitive information with a high degree of professionalism and discretion
  • Process Improvement: Ability to identify inefficiencies and recommend improvements to administrative or team processes
  • Adaptability: Comfortable operating in a dynamic environment with shifting priorities
  • Strong stakeholder management skills; able to work effectively with senior leaders and cross-functional teams
  • Demonstrated resourcefulness, initiative, and problem-solving ability
  • Ability to provide direction or coordinate work of other administrative or temporary staff
