Sparks Group has partnered with a local government entity who is need of a highly organized and proactive Executive Assistant to provide direct support to a Department Director within a large and fast-paced environment. This role requires a polished professional who can effectively manage executive-level priorities, maintain confidentiality, and serve as a key liaison between leadership, executive staff, and departmental teams. The ideal candidate will be exceptionally responsive, detail-oriented, and capable of managing multiple priorities while exercising sound judgment and initiative in a complex organizational setting. This is a 6-month contract and 100% on site. Apply for immediate consideration. 

Key Responsibilities
  • Manage and maintain the Director’s calendar, including scheduling meetings, coordinating appointments, and prioritizing competing demands
  • Provide administrative and operational support to the Director and executive leadership team
  • Follow up with executive staff and department leaders on outstanding items, action plans, and deadlines
  • Serve as a liaison between the department and the City Manager’s Office, including coordination with executive administrative staff
  • Assist with special projects, reports, presentations, and assignments as directed by the Director
  • Prepare correspondence, meeting materials, agendas, and other executive-level documentation
  • Coordinate meetings and events, including logistics, scheduling, and follow-through on action items
  • Handle sensitive and confidential information with professionalism and discretion
  • Support communication and collaboration across all levels of the department
  • Anticipate executive needs and proactively identify solutions to improve efficiency and organization
Qualifications
  • Minimum of 5 years of Executive Assistant or high-level administrative support experience required
  • Experience supporting senior executives, department heads, or leadership teams in a complex organization preferred
  • Prior local government, municipal, or public sector experience is a plus
  • Exceptional organizational, multitasking, and time management skills
  • Strong critical thinking and problem-solving abilities
  • Excellent written and verbal communication skills
  • Ability to work independently, demonstrate initiative, and manage shifting priorities in a fast-paced environment
  • Professional demeanor with the ability to interact effectively with executive leadership and staff at all levels
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
