Amazon Customs and Trade (ACT) is seeking an experienced Executive Assistant with strong communication skills to support its Director of Operations and Director of Program Management. This role requires exceptional attention to detail, proactive communication, superior organizational skills, and the ability to meet tight deadlines while managing multiple critical requests across internal and external stakeholders. The Executive Assistant must exercise discretion in handling confidential information, collaborate closely with other Executive Assistants throughout the organization, and serve as backup support to the VP when needed.

Key job responsibilities

  • Manage multiple complex calendars with competing priorities across time zones, proactively resolving scheduling conflicts and optimizing executive time allocation
  • Organize, prioritize, and appropriately handle time-sensitive, confidential information
  • Help plan and execute team events, offsites, quarterly all-hands meetings, and leadership summits of varying sizes (10-200+ attendees); travel may be required
  • Serve as a trusted liaison between Directors and internal/external stakeholders across partner teams
  • Track and drive completion of key deliverables, follow up items, maintain meeting notes and action items
  • Provide backup support to the VP as needed
  • Manage team space logistics, including moves and reconfigurations

Amazon Customs & Trade (ACT) is Amazon"s in-house customs brokerage operation. We file customs entries across multiple countries, manage import duties and compliance for Amazon"s global supply chain, and build the technology that makes it all work at scale.

The team is international, spanning multiple locations and time zones. Our mission: simplify customs brokerage through technology, increase compliance, improve speed, and reduce cost.
