The AWS Global Public Policy (GPP) organization is seeking an experienced, driven, highly organized and detail-oriented with demonstrated experience managing budgets and financial processes, Executive Assistant with a proven track record of high performance under pressure.

In this role, you will provide dedicated support to 2-3 senior Amazon leaders within the Global Public Policy (GPP). This position will report to the Director of multiple teams, including Latin America Public Policy and global trade policy. The role can be based in HQ2 (Arlington, VA) or Miami, FL. You may also serve as a backup during EA absences and assist with broader HQ operations.

You are someone who thrives in a fast-paced, dynamic environment and can manage high volumes of complex tasks with minimal guidance. Success in this role requires the ability to take action with little direction, strong communication skills at all levels, exceptional organization, and the highest standards of integrity and discretion when handling confidential information. As the first point of contact for a global team engaging with senior Amazon officials and headquarters, you will serve as a trusted resource and ambassador - embodying professionalism and soft diplomacy.

This role requires five (5) days a week in office.

Key job responsibilities

  • Proactively anticipate leaders" needs and preferences, independently resolving escalations without relying on the leaders" direction for day-to-day decisions.
  • Manage complex calendars strategically to optimize leaders" time and maintain high productivity ensuring business objectives and rhythm of business needs are met; regularly scheduling across several time zones
  • Coordinate domestic and international travel (some travel required for this role), process expense reports, and maintain organizational charts.
  • Proactively plan and organize events, team offsites, summits, and activities in partnership with leadership and the GPP HQ Support team, including in international locations.
  • Own the tracking of key deliverables, metrics, and deadlines - proactively following up and driving completion without being asked.
  • Learn and leverage AI tools to maximize team efficiencies, calendaring, and communications.
  • Interact with senior U.S. and international government agencies and officials' offices, requiring soft diplomatic skills and polish.
  • Manage and track team budgets, process purchase orders, reconcile expenses, and provide regular budget status updates to leadership - proactively flagging variances and recommending adjustments.
  • Document processes as you learn them for future reference.
  • Partner with executive assistants across the team and company, fostering collaboration in a multicultural environment.
  • Demonstrate empathy, critical thinking, and a genuine desire to understand others.
