What You Bring to the Table:

We are seeking an experienced Administrative Assistant with proven high-level support for a President or CEO, excellent minute-taking skills for large board meetings, and the ability to manage a large board with diverse personalities. You must possess outstanding communication skills, strong multitasking abilities, and experience handling travel arrangements and invoicing. In this role, you will provide professional, confidential, and proactive support to the President while ensuring smooth board operations and executive-level coordination in a fast-paced, mission-focused non-profit environment.

Key Responsibilities:

  • Manage the President's calendar, schedule high-level meetings and travel arrangements, prepare itineraries, and handle all associated invoicing and expense reporting
  • Take accurate, professional minutes for large board meetings and committee sessions, distribute them promptly, and track follow-up action items
  • Serve as the primary point of contact and liaison for a large board of directors, managing communications and relationships with a variety of personalities and stakeholders
  • Prepare correspondence, reports, presentations, board packets, and confidential documents with a high degree of accuracy and professionalism
  • Coordinate board meetings, special events, and logistics while maintaining strict confidentiality and attention to detail
  • Provide general executive support, including multitasking across competing priorities, managing records, and assisting with special projects as needed
