Executive Assistant
Job Location: Berkeley, California

Pay Rate: $100,00-$120,000/Year
Schedule: Monday - Friday; 8am-5pm
Description of Position:
Do you have experience supporting senior executives and keeping complex priorities organized? Our client is seeking a highly organized and professional Executive Assistant to the Chief Executive Officer (CEO). This role provides high-level administrative and organizational support to the CEP, Leadership Team, and Board of Directors while helping keep important projects, meetings, communications, and follow up on track.
Job Responsibilities:
- Manager the CEO's calendar, scheduling meetings and coordinating priorities
- Monitor and help organize the CEO's email inbox, including identifying priorities and routing messages
- Prepare the CEO for meetings by organizing agendas, briefing materials, presentations, and reports
- Coordinate Board of Directors and committee meetings, including agendas, board packets, meeting minutes, and records
- Track important deadlines, projects, action items, and follow up items for the CEO and Leadership Team
- Coordinate internal and external meetings with staff, funders, public agencies, community partners, and other stakeholders
- Draft, edit, format, and distribute professional communications and organizational materials
- Conduct basic research and prepare background information for meetings and strategic discussions
- Maintain organized executive files, record, policies, meeting documentation, and shared documents
- Assist with meeting and interview logistics, including greeting guest and preparing meeting spaces
Description of Company:
You will be supporting a non-profit agency in Berkeley, California.
Experience Required:
- 5+ years of experience in executive support, administration, operations, or program coordination.
- Experience supporting a CEO, Executive Director, or other senior executive preferred
- Experience supporting a Board of Directors or governance function strongly preferred
- Nonprofit experience is a plus
- Excellent written and verbal communication skills
- Strong organizational and time management skills
- Proficiency with Microsoft Office Suite and scheduling tools
- Experience with project or task management platforms is a plus
- Ability to handle confidential information with professionalism and discretion
- Ability to manage multiple priorities, meet deadlines, and work well under pressure
- Ability to work independently with minimal supervision
- Flexible, dependable, and willing to take on new responsibilities as needed
- Professional attitude and strong interpersonal skills
