Executive Assistant

Job Description

  • Accompany the CEO to client meetings and business negotiations, providing coordination and communication support
  • Prepare reports, presentations, and correspondence as required
  • Serve as a key point of contact between the CEO and internal/external stakeholders
  • Provide direct administrative support to the CEO, including calendar management, scheduling, and meeting coordination
  • Assist with construction-related administrative tasks, including document organization, project tracking, and communication with internal teams
  • Collect and follow up on performance updates from various departments
  • Communicate with contractors and subcontractors regarding project schedules and maintain updates on completion timelines and estimated completion dates
  • Manage travel arrangements, meeting logistics, and day-to-day executive support tasks
  • Perform other duties as assigned by the CEO

Qualifications

  • Bilingual in English and Chinese, with strong written and verbal communication skills in English
  • Bachelor's degree in Business Administration, Construction Management, or a related field preferred
  • Minimum of 3 years of relevant experience as an Executive Assistant, Operations Assistant, Construction Assistant, or Office Manager
  • Strong organizational and time management skills
  • Detail-oriented, analytical, and highly organized
  • Proficient in Microsoft Excel, Word, and PowerPoint
  • Ability to work independently as well as under the guidance of senior management
  • Ability to perform effectively in a fast-paced, time-sensitive environment

Schedule

  • Monday to Friday, 9:00 AM - 6:00 PM (1-hour lunch break)
