To thrive/succeed as the Executive Assistant, you should have:

  • Proven experience in office management, administrative support, nonprofit administration, arts management, or a related field, with the ability to effectively manage multiple priorities and complex projects.
  • Strong communication, organizational, problem-solving, and interpersonal skills, with a professional demeanor and a commitment to building trust, maintaining integrity, and upholding organizational values.
  • Self-motivated and results-oriented, demonstrating initiative, persistence, sound judgment, and accountability while identifying opportunities and driving projects to successful completion.
  • Proficiency with Microsoft Office and Google Workspace; experience with Adobe Creative Suite or other creative software is a plus.
  • Passion for the arts, theater, or nonprofit work, with an adaptable mindset, a sense of humor, and an appreciation for collaboration, continuous learning, and ownership of challenges and solutions.

Your responsibilities as the Executive Assistant will include:

  • Provide administrative support to executive leadership, including managing correspondence, coordinating schedules, arranging meetings, and serving as a primary point of contact for internal and external inquiries.
  • Coordinate board and committee meetings by scheduling sessions, preparing and distributing meeting materials, recording minutes, and ensuring timely follow-up on action items.
  • Manage program and application processes by supporting applicants and evaluators, troubleshooting technical issues, maintaining records, and ensuring deadlines and communications are met.
  • Assist with the planning, coordination, and execution of member events, networking opportunities, exhibitions, performances, workshops, and other organizational programs.
  • Provide operational and production support for artistic initiatives, including coordinating schedules, preparing materials, managing artist documentation and contracts, supporting rehearsals and installations, and maintaining event and rehearsal spaces.
