Job Description
 
Position Summary:
 
We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to a senior C-suite executive. The ideal candidate will be responsible for managing complex calendars, coordinating meetings, handling travel arrangements, and ensuring seamless day-to-day administrative support in a fast-paced global environment.
 
Key Responsibilities:
 
  • Manage and coordinate the executive's calendar, meetings, and appointments across multiple time zones.
  • Schedule and organize internal and external meetings, including leadership and stakeholder meetings.
  • Coordinate travel arrangements, including flights, accommodations, visas, and itineraries.
  • Prepare meeting agendas, presentations, and other administrative documents as needed.
  • Manage communication and correspondence on behalf of the executive.
  • Coordinate with internal and external stakeholders to ensure timely follow-ups and action items.
  • Support event planning, leadership meetings, and executive visits.
  • Maintain confidentiality while handling sensitive business information.
  • Assist with expense reports, invoice processing, and other administrative tasks.
 
Required Qualifications:
 
  • Proven experience supporting senior executives or C-suite leaders.
  • Excellent verbal and written communication skills in English.
  • Strong calendar management and scheduling experience.
  • Experience coordinating international travel and executive meetings.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration tools such as Teams.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to manage multiple priorities and work independently in a fast-paced environment.
 
Preferred Qualifications:
 
  • Fluency in Spanish (preferred) or other foreign languages.
  • Experience supporting global executives and working across multiple regions and time zones.
  • Experience in multinational or corporate environments.
 
Compensation: 
 
The hourly rate for this position is between $29.00-30.00 per hour.  
 
Factors which may affect starting pay within this range may include [geography/market, skills, education, experience and other qualifications of the successful candidate].
