Strategic Executive Assistant

Remote. Full time. High trust. High impact.

You’ll be the right hand to a fast moving CEO who runs several companies, leads a large client portfolio, and juggles a full life. Your job is to keep her focused, supported, protected, and ahead of everything coming her way.

This is not a task taking role. It is not traditional admin work.

This is a high ownership partnership where you run the day to day so she can run the vision.

About the Role

Your work touches every part of Meaghan’s world. You will manage her calendar, communication, travel, meetings, inboxes, projects, systems, and priorities across multiple businesses.

You will help her start her day with clarity and end it with everything wrapped up and ready for tomorrow.

You will think ahead. Solve problems before they surface. Clear friction. Anticipate needs. Create order. Protect her time. And help her stay focused on the work only she can do.

You must love details. You must love finishing things. You must communicate with warmth, clarity, and confidence. And you need to be two steps ahead at all times.


What You’ll Do

Daily and Weekly

Manage all inboxes. Draft replies. Flag priorities. Handle follow ups.

Run morning meetings with a clear agenda, priorities, reminders, and alarms.

Manage the calendar so it reflects her highest priorities.

Protect focus time. Block prep time. Clear conflicts.

Start Zoom meetings. Handle links, recordings, agendas, and summaries.

Watch recorded meetings and note promises, follow ups, and deadlines.

Draft emails, texts, replies, and messages with her tone and precision.

Keep tasks moving forward. Close loops. Remove blockers.

Monitor projects and keep her ahead of deadlines.

Coordinate with internal teams.

Support leadership teams by gathering what they need from her.

Keep everything organized, updated, and on track.


Operations and Life Management

Manage travel. Flights. Hotels. Cars. Reservations. Tripit.

Handle personal logistics. Appointments. Shopping. Ordering. Returns.

Manage passwords and account access.

Coordinate family calendars.

Support home admin and errands through the Personal Assistant.

Research, compare, and present options for everything from wallpaper to conference logistics.


Special Projects

Help prepare workshops, presentations, and speaking engagements.

Support product launches across multiple brands.

Handle complicated admin needs like insurance renewals and licensing.

Bring structure to new ideas and turn them into actionable plans.
