Job Summary
Provides advanced level administrative support to member(s) of the Executive Council. Relieves the executive of administrative tasks in order to increase the time an executive has available for executive level responsibilities.
Job Duties/Tasks/Responsibilities
- Assists in organizing assigned executiveâs time, schedule, meetings, files, calendar and contacts.
- Composes and prepares various forms of correspondence, including letters, memorandum, reports and other written material.
- Schedules and coordinates meetings, conference calls and travel arrangements.
- Screens visitors, mail, email and calls and handles items within the limits of delegated authority.
- Handles a wide variety of situations and conflicts involving the clerical and administrative function of the office.
- Responsible for handling and organizing confidential and time sensitive material.
- Provides general support in matters such as preparing travel expenses, internal documentation and process flows.
- Performs other duties as assigned.
 Minimum Education, Experience and Certification Requirements Education
Certifications
Required Experience
- Minimum of 5 years secretarial/administrative support experience
Preferred Experience
- 7 years secretarial/administrative support experience
- Prior executive administrative support
Required and Desired Skills
- Strong organizational skills required
- Advanced computer skills, including Microsoft Office required
- Strong written and verbal communication skills required
- Ability to interact well with all levels of management required
- Ability to function as a true partner to the executive and be able to anticipate needs
- Must be able to exercise extreme sensitivity, discretion, judgment, tact and diplomacy
Physical/Mental Requirements and Working Conditions
- Available to work in office four (4) days per week. The position is not remote.
- Ability to carry up to 10 pounds
- Ability to use hands to accomplish tasks as assigned
- Ability to sit, walk, climb, and bend/stoop
- Ability to effectively communicate; pass audiogram in hearing conservation program as required by location
- Ability to see close and distance; basic colors/shades
- Ability to work inside an office
- Ability to work alone, work with others, and interact with the public
- Ability to perform under deadline pressure; drive a vehicle
