Job Summary
BJC HealthCare is seeking an experienced Executive Assistant to support executive leadership by managing daily administrative operations, coordinating meetings, organizing communications, and ensuring efficient workflow management. This role requires exceptional organizational abilities, professionalism, discretion, and the ability to manage multiple priorities independently.
The ideal candidate possesses outstanding communication skills, advanced administrative experience, and the ability to build strong working relationships across departments while maintaining confidentiality and operational efficiency.

Key Responsibilities
Executive Support
Provide comprehensive administrative support to executive leadership and senior management teams.
Manage complex calendars, scheduling, appointments, and executive meetings across multiple time zones.
Coordinate virtual meetings, conference calls, presentations, and executive events.
Prepare reports, presentations, meeting agendas, correspondence, and executive communications.
Screen and prioritize incoming communications, emails, and requests.
Maintain confidentiality regarding sensitive company, employee, and operational information.
Operations & Coordination
Organize travel arrangements, expense reports, and executive itineraries when required.
Assist with project coordination, departmental initiatives, and operational planning.
Track deadlines, follow-ups, action items, and executive priorities.
Support onboarding coordination, vendor communications, and administrative documentation.
Maintain accurate digital records, files, and reporting systems.
Collaborate cross-functionally with internal departments and external stakeholders.
Communication & Administrative Management
Draft and edit professional correspondence and internal communications.
Ensure timely communication between leadership teams and departments.
Support executive decision-making by gathering information and preparing documentation.
Coordinate confidential files, records management, and administrative compliance tasks.
Assist with process improvements and workflow optimization initiatives.
Quality & Professional Standards
Demonstrate professionalism, discretion, and strong judgment in all interactions.
Ensure administrative processes align with organizational standards and operational policies.
Maintain strong attention to detail, accuracy, and organizational efficiency.
Stay current with administrative technologies, communication tools, and remote collaboration platforms.
Required Qualifications
Bachelor’s degree in Business Administration, Communications, Healthcare Administration, or related field preferred.
3+ years of Executive Assistant, Administrative Assistant, or senior administrative support experience.
Experience supporting executive leadership or senior management teams.
Strong proficiency with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and Teams.
Exceptional organizational, multitasking, and time management abilities.
Strong written and verbal communication skills.
Ability to manage confidential information with professionalism and discretion.
Ability to work independently in a remote environment while meeting deadlines.
Preferred Qualifications
Experience in healthcare, corporate, nonprofit, or large enterprise environments.
Experience with remote executive support and virtual collaboration tools.
Familiarity with project management software and scheduling platforms.
Knowledge of healthcare administration or healthcare operations preferred.
Experience coordinating executive-level presentations and reporting.
