The Executive Assistant will serve as a key administrative partner and trusted gatekeeper for the Leadership team with additional office management duties as required. This role requires exceptional organizational skills, a high level of discretion, and the ability to manage a dynamic workload with competing priorities. Prior experience in real estate, private investment, or high-net-worth environments is strongly preferred.
Key Responsibilities
Provide high-level administrative support to Principal(s) and senior management
Manage complex calendars, schedule meetings, and coordinate travel arrangements (domestic and international)
Prepare, edit, and proofread correspondence, investment reports, and presentations
Support real estate transactions, including tracking deadlines, coordinating closings, and managing key documentation
Liaise with external stakeholders (attorneys, brokers, property managers, consultants) on behalf of the office
Maintain organized records of property holdings, contracts, and investment documentation
Assist with personal matters, event planning, and household coordination as needed
Handle confidential information with the utmost discretion
Ensure office operations run smoothly; coordinate vendors and office supplies as necessary
Qualifications
5+ years of experience in an Executive Assistant or Chief of Staff capacity, ideally within real estate, finance, or family office settings
Bachelor’s degree preferred
Strong knowledge of real estate terminology and transaction processes a plus
Proficiency in Microsoft Office Suite; familiarity with project management or CRM tools a bonus
Impeccable organizational and multitasking abilities
High level of professionalism and discretion
Excellent written and verbal communication skills
Self-starter mindset with a proactive, solution-oriented approach
