We are seeking a highly polished Executive Assistant to provide advanced, confidential administrative support to senior leadership within our Information Systems department. This role supports a fast ‑ paced, technically focused team and requires strong organizational skills, professionalism, discretion, and the ability to manage complex priorities in a hybrid work environment.

Position Summary

The Executive Assistant delivers high ‑ level administrative and secretarial support to an executive leader in the Information Systems division, serving as a trusted partner in day ‑ to ‑ day departmental operations. This role requires exceptional judgment, attention to detail, and the ability to proactively anticipate executive and team needs. The successful candidate will manage executive schedules, coordinate meetings and logistics, prepare professional correspondence, and serve as a key liaison for internal and external stakeholders.

Key Responsibilities

  • Provide advanced administrative and executive ‑ level support to Information Systems leadership, ensuring smooth daily operations
  • Manage complex calendars, appointments, and meetings, including coordination of travel arrangements as needed
  • Serve as a professional gatekeeper by screening and prioritizing calls, emails, and requests
  • Prepare, edit, and proofread correspondence, memoranda, reports, presentations, and meeting materials with a high level of accuracy
  • Coordinate meetings across technical, clinical, and operational teams, including preparation of agendas and meeting minutes
  • Greet and assist visitors, team members, and stakeholders with professionalism and discretion
  • Maintain strict confidentiality and exercise sound judgment when handling sensitive and proprietary information
  • Collaborate with the Administrative Office Supervisor and Information Systems leadership on special projects and administrative initiatives
  • Perform additional administrative and secretarial duties as assigned to support departmental and organizational needs

Qualifications

  • Required: High School Diploma or GED
  • Preferred: Associate's Degree in a related field
  • Required: Previous administrative support experience
  • Preferred: Executive Assistant or senior ‑ level administrative experience supporting leadership, ideally in a healthcare or technical environment
