Job Description

 What You'll Do

Executive Support

  • Provide day-to-day administrative and organizational support to the Executive Director/CEO and leadership team
  • Manage complex calendars, meetings, appointments, and scheduling priorities
  • Prepare meeting agendas, materials, presentations, and follow-up items
  • Coordinate internal and external meetings, including virtual and in-person events
  • Monitor deadlines, commitments, and follow-up items to ensure nothing falls through the cracks
  • Prepare correspondence, reports, documents, and other executive communications
  • Handle confidential and sensitive information with discretion

Organizational & Operational Support

  • Help coordinate organizational priorities, projects, and initiatives
  • Maintain organized files, records, contact lists, and shared resources
  • Track action items and follow up with team members as needed
  • Assist with internal processes, procedures, and administrative systems
  • Support leadership with research, preparation, and special projects
  • Identify opportunities to improve administrative efficiency and organization

Board & Stakeholder Support

  • Assist with Board of Directors meetings, including scheduling, agendas, materials, and follow-up
  • Coordinate communication with board members, donors, partners, volunteers, and community stakeholders
  • Help prepare materials for leadership, board, donor, and partner meetings
  • Maintain professionalism and positive relationships with internal and external stakeholders

Events & Special Projects

  • Support planning and coordination of nonprofit events, meetings, fundraisers, and community activities
  • Assist with logistics, invitations, communications, materials, and follow-up
  • Take ownership of special projects assigned by executive leadership
  • Step in where needed to help the organization meet its goals and serve its community

What We're Looking For

Required Qualifications

  • 3+ years of experience supporting executives, senior leaders, or organizational leadership
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and deadlines
  • Strong attention to detail and follow-through
  • High level of professionalism, discretion, and confidentiality
  • Comfortable interacting with executives, board members, donors, community partners, and staff
  • Strong proficiency with Microsoft Office and/or Google Workspace
  • Ability to work independently while also being a collaborative team member
  • Strong problem-solving skills and a proactive approach to work

Preferred Qualifications

  • Previous experience working in a nonprofit or mission-driven organization
  • Experience supporting a CEO, Executive Director, or Board of Directors
  • Experience coordinating nonprofit events, fundraisers, or community programs
  • Familiarity with CRM, donor management, project management, or database systems
  • Experience working with volunteers, donors, community partners, or other external stakeholders
