The Executive Assistant provides high-level administrative support to senior leadership within the McCausland College of Arts and Sciences, ensuring the efficient coordination of daily operations, strategic initiatives, and collegewide programs. This role assists the Vice Dean, Assistant Dean of Finance and Operations, and Associate Dean for Graduate Studies and Faculty Development in managing complex schedules, calendars, meeting and event logistics, travel. communications, and financial processes, while serving as a key liaison for internal and external constituencies.
The Executive Assistant contributes to the success of graduate education, faculty development, and leadership development programming by coordinating and supporting a wide range of activities and initiatives. The role involves compiling data, generating reports, and assisting with policy review and implementation to support strategic planning and continuous improvement. Through these efforts, the Executive Assistant plays a key role in enhancing the visibility, impact, and operational effectiveness of college programs and priorities.

Executive Assistant to the Vice Dean: Provides comprehensive administrative support to the Vice Dean, ensuring the effective management of daily operations and strategic initiatives. Responsibilities include managing the Vice Dean's calendar by scheduling appointments, maintaining accuracy, and communicating upcoming deadlines. Coordinates all aspects of travel, including booking arrangements and preparing comprehensive itineraries. Oversees the planning and execution of in-person and virtual meetings, handling logistics such as venue setup, catering, attendance tracking, and audiovisual/tech support. Coordinates and attends regularly scheduled Dean's Council meetings and takes notes as needed for distribution. Assists with event and presentation preparation by confirming details and organizing materials. Drafts and disseminates professional correspondence on behalf of the Vice Dean and serves as a point of contact for internal and external constituencies. Provides administrative support for the Vice Dean's oversight of a retention and success efforts, including coordination of meetings, communications, and related initiatives. Manages listservs, distributes communications related to OSE events, and collaborates with the CAS Communications Office to maintain and update initiative webpages. Processes and monitors financial transactions in coordination with the CAS Budget Office. Conducts research and gathers information to support decision-making and strategic planning, and prepares reports related to the Dean's responsibilities. Maintains and updates forms annually and completes and submits internal forms as assigned. Communicates on behalf of the Dean's Office regarding college-wide initiatives and strategic priorities. Flexibility to work evenings and weekends may be required to support events and programs.

Responsibilities include managing the Associate Dean's calendar by scheduling appointments, maintaining accuracy, and communicating upcoming deadlines. Coordinates all aspects of travel, including booking arrangements and preparing comprehensive itineraries. Oversees the planning and execution of in-person and virtual meetings, handling logistics such as venue setup, catering, attendance tracking, and audiovisual/tech support. Prepares presentations, creates binders, and organizes supporting materials. This role involves researching and gathering information to produce reports related to the Associate Dean's responsibilities. Maintains and updates forms annually and completes and submits internal forms as assigned. Generate professional correspondence on behalf of the Associate Dean and serves as a point of contact for internal and external constituencies. Provides information about the college and direct inquiries to appropriate contacts as needed.
Supports graduate education operations by managing actions related to the Graduate Assistantship Budget, Graduate Recruitment Commitments, and Graduate Assistantship Enhancement Awards. Assists with the preparation of annual financial reports as needed. Coordinate and attend regularly scheduled CAS Graduate Director meetings and takes notes as needed for distribution. Contributes to the development and dissemination of communications and assists in reviewing policies established by CAS Graduate Programs.
This role plays a key part in facilitating the smooth operation and visibility of Faculty Development Programs across the college. Provides administrative support for college-level Faculty Development Programs (FDPs), including the Tenure Track Series, Professional Track Series, College Writing Sessions, Advanced Associate Professor Intensive, and Bridge Humanities Teaching Fellowship Program. Responsibilities include drafting correspondence related to the hiring of program leads, supporting the scheduling, planning, and promotion of meetings and events, tracking attendance, and distributing and collecting assessment surveys. Collaborates closely with the CAS Communications Office to maintain and update program webpages, ensuring accurate and timely information is available.

Responsibilities include managing travel, procurement activities, and contract reviews while interpreting and applying relevant institutional policies. This role involves researching and gathering information to produce reports related to the Assistant Dean's areas of oversight, including HR, Finance, Facilities, and IT, as well as broader college initiatives and strategic planning efforts. Manages the Assistant Dean's calendar by scheduling appointments, maintaining accuracy, and communicating upcoming deadlines. Oversees the planning and execution of in-person and virtual meetings, handling logistics such as venue setup, catering, attendance tracking, minute-taking, and audiovisual/tech support. Prepares presentations, creates binders, and organizes supporting materials. Maintains and updates forms annually and completes and submits internal forms as assigned. Drafts and disseminates professional correspondence on behalf of the Assistant Dean and serves as a point of contact for internal and external constituencies. The incumbent frequently communicates on behalf of the Assistant Dean and Dean, engaging with diverse audiences to support and promote college initiatives and strategic priorities.
