Reports To: Chief Executive Officer (CEO)
The Executive Assistant provides high-level administrative and organizational support to the Chief Executive Officer (CEO) and occasional support to the Executive Leadership Team. This position manages executive priorities, coordinates communications, supports Board of Directors activities, and ensures the efficient operation of the executive office while maintaining the highest level of professionalism and confidentiality.
· Manage the CEO’s calendar, meetings, travel arrangements, and daily schedule.
· Serve as the primary point of contact for the CEO by managing communications, correspondence, and scheduling.
· Prepare agendas, reports, presentations, meeting materials, and other executive documents.
· Coordinate Board of Directors meetings, including preparing Board packets, recording meeting minutes, and tracking action items.
· Assist with planning executive meetings, organizational events, and special projects.
· Process expense reports, invoices, and maintain confidential files and records.
· Draft internal communications, newsletters, press releases, and other correspondence as needed.
· Collaborate with internal departments, Board members, and external partners to support organizational initiatives.
· Attend occasional evening Board meetings and organizational events as required.
· Maintain confidentiality and protect sensitive organizational information.
· Perform other duties as assigned.
· Associate’s degree in Business Administration, Healthcare Administration, Communications, or a related field required; Bachelor’s degree preferred.
· Minimum of three (3) years of executive administrative support experience required.
· Experience supporting executive leadership or Boards of Directors preferred.
· Public relations or healthcare experience is a plus.
· Advanced proficiency in Microsoft Office Suite required.
· Excellent organizational, communication, and time management skills.
· Ability to manage multiple priorities while maintaining accuracy and attention to detail.
· Ability to exercise sound judgment, professionalism, and discretion with confidential information.
· Strong project coordination and problem-solving skills.
· Proficiency in Microsoft Office and the ability to quickly learn new software applications.
