About the Role

We’re seeking a highly organized, proactive, and strategic Executive Assistant to the CEO who will serve as a key operational partner and trusted right hand to the CEO. This role extends beyond traditional administrative support, acting as a bridge between executive leadership, internal teams, and external stakeholders.

You will manage executive priorities, oversee operational processes, coordinate cross-functional initiatives, and ensure follow-through on leadership decisions. The role also includes managing communications, scheduling, reporting, KPI tracking, contract administration, company expenses, and organizational systems. You’ll help drive accountability, identify operational inefficiencies or risks, and maintain alignment with company priorities and policies.

This position is ideal for a disciplined, detail-oriented professional who thrives in a fast-paced environment and enjoys creating structure, improving processes, and driving operational clarity at the executive level.

Key Responsibilities:

Executive Support & Administration

  • Serve as the primary point of contact for the CEO, managing calendars, communications, and daily priorities

  • Prepare reports, presentations, agendas, briefing documents, and executive materials

  • Track action items, follow up with stakeholders, and ensure accountability after leadership meetings

  • Handle confidential information with discretion and sound judgment

  • Anticipate needs, identify risks, and proactively resolve challenges

  • Leverage technology and automation tools to improve workflows and efficiency

  • Monitor organizational priorities and ensure initiatives stay on track

  • Identify operational bottlenecks, recurring issues, and communication gaps, escalating insights and recommendations to leadership

Operational Leadership

  • Manage strategic projects from initiation through completion, ensuring timelines and deliverables are met

  • Track and report key performance indicators (KPIs) in clear, actionable formats

  • Oversee company expenses, budgets, and operational reporting

  • Coordinate operational resources, vendors, equipment, and logistics for efficiency and reliability

  • Plan and execute company events, executive meetings, and offsites

  • Support cross-departmental initiatives and maintain alignment with company priorities

  • Serve as a liaison between the CEO, internal teams, vendors, and external partners

  • Build and maintain dashboards, trackers, and reporting systems that improve transparency and accountability

  • Monitor adherence to company policies, processes, and operational standards

  • Manage contract administration, including tracking agreements, documentation, signatures, and follow-ups

What You Bring

  • 2–5 years of experience supporting C-level executives, ideally in fast-paced or growing organizations

  • Exceptional organizational and project management skills with strong attention to detail

  • Ability to manage multiple priorities and drive initiatives from start to finish

  • Strong judgment and discretion handling confidential information

  • Experience using technology, automation tools, and systems to improve operational efficiency

  • Strong analytical, problem-solving, and communication skills

  • Proactive, hands-on, and solution-oriented mindset

  • Experience with budgets, KPIs, operational workflows, or reporting preferred

  • Ability to drive accountability and maintain strong cross-functional relationships

  • Valid driver’s license and comfort coordinating company vehicles preferred
