Client Overview:
Our client, a globally integrated real estate investment and asset management firm specializing in the acquisition, management, and optimization of commercial and residential assets, is seeking an Executive Assistant. They manage a diverse portfolio across multiple markets, while delivering strategic investment solutions and long-term value for clients and stakeholders worldwide.

Salary/Hourly Rate:
$85k - $90k

Position Overview:
The Executive Assistant provides high-level administrative support to senior leadership by managing daily operations, coordinating communications, and ensuring the efficient execution of business activities. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities of the Executive Assistant:
  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare agendas, presentations, reports, and meeting materials.
  • Serve as the primary point of contact between executives, employees, clients, vendors, and external stakeholders.
  • Screen and prioritize emails, phone calls, and correspondence on behalf of leadership.
  • Draft, proofread, and distribute professional communications and documents.
  • Organize and maintain confidential files, records, and company documentation.
  • Track projects, deadlines, and follow-up items to ensure timely completion.
  • Coordinate company events, leadership meetings, conferences, and special projects.
  • Prepare expense reports, process invoices, and assist with budget tracking.
  • Maintain strict confidentiality when handling sensitive business and personnel information.
  • Identify opportunities to improve administrative processes and operational efficiency.
Required Experience/Skills for the Executive Assistant:
  • 3+ years of executive or administrative support experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Teams, SharePoint, or similar platforms.
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and problem-solving abilities.
  • Ability to work independently, prioritize competing demands, and maintain attention to detail.
  • Demonstrated professionalism, discretion, and sound judgment when handling confidential matters.
Education Requirements:
  • Bachelor's degree is preferred.
  • Equivalent experience is accepted.
