The Executive Assistant provides ongoing, high-level and complex administrative support, including managing the schedules and expenses of senior executives.
Key Responsibilities
Provide ongoing, high-level and complex administrative support.
Manage and maintain daily and long-range calendars and schedules.
Provide additional support to executive leadership as needed.
Schedule and coordinate meetings and events, book travel, and manage expense reports.
Manage communications, invitations, and meetings.
Maintain departmental files including monthly finance statements, previous budgets, etc.
Assist with meeting materials and presentations.
Manage matters with discretion.
Serve as liaison to staff.
Serve as the go-to person for staff needs.
Work and partner with other departments such as IT, facilities, and mailroom to resolve issues.
Coordinate and schedule new hire orientations.
Perform office managerial duties, including:
Ordering meals for staff for special events.
Ordering office supplies.
Maintaining updates to staff phone lists.
Performing other administrative work to ensure the smooth operation of a busy newsroom and office.
Required Qualifications
College degree or equivalent combination of education and experience.
Administrative office experience in an executive-level office environment preferred.
Demonstrated ability to well-represent executives through strong follow-through skills and sound judgment.
Demonstrated knowledge of general office procedures.
Demonstrated writing skills for business correspondence.
Ability to function in a fast-paced environment.
Excellent interpersonal, oral, and written communication skills.
Ability to handle confidential matters with discretion and tact.
Excellent organizational and time management skills with careful attention to detail.
Strong understanding and application of computer technology to efficiently accomplish work using Microsoft Office programs, email, Internet, and database management software.
Ability to work independently and in a team environment, manage multiple projects simultaneously, and prioritize tasks.
Ability to work unconventional hours, at times with little or no notice, in a breaking news environment.
