The Executive Assistant & Digital Engagement Specialist is the anchor for philanthropy operations, providing high-level, proactive administrative support to the Senior VP & Chief Philanthropy Officer (CPO) while serving as a vital member of the Philanthropy Shared Services team. This position will bridge the gap between executive-level operations and digital communication. Expertise will be split between optimizing the CPO''s day-to-day engagement and collaborating with the Shared Services team to drive our digital giving footprint, social media presence, and online donor stewardship strategies. A Brief Overview

The Executive Assistant & Digital Engagement Specialist is the anchor for philanthropy operations, providing high-level, proactive administrative support to the Senior VP & Chief Philanthropy Officer (CPO) while serving as a vital member of the Philanthropy Shared Services team. This position will bridge the gap between executive-level operations and digital communication. Expertise will be split between optimizing the CPO's day-to-day engagement and collaborating with the Shared Services team to drive our digital giving footprint, social media presence, and online donor stewardship strategies. Ensures the smooth and efficient operation of the office. Models appropriate behavior as exemplified in MLH Mission, Vision and Values.

What you will do

  • Executive Support to the SVP & Chief Philanthropy Officer (50%) • Strategic Calendar & Travel Management: Act as the strategic gatekeeper and manager of the CPO's complex calendar. Proactively coordinate high-value donor meetings, foundation site visits, and health system leadership alignments. • Leadership & Board Liaison: Assist the CPO in preparing for executive meetings, board of directors sessions, and clinician alignments. Draft high-level briefings, executive correspondence, and polished presentation decks. • Workflow Optimization: Manage executive travel arrangements, track and process expense reports, and ensure the CPO is thoroughly briefed and prepared for all daily engagements. • Confidentiality & Discretion: Handle sensitive donor, financial, and institutional health system data with absolute discretion and strict adherence to hospital compliance standards.
  • Digital Giving & Social Media (Philanthropy Shared Services) (50%) • Shared Services Collaboration: Integrate closely with the Philanthropy Shared Services team to execute centralized digital fundraising strategies that support overall foundation goals. Social Media & Branding: Develop, schedule, and execute a dynamic content calendar across social platforms (LinkedIn, Facebook, Instagram) to elevate the foundation's visibility, highlight major gifts, and share powerful patient impact stories. • Digital Fundraising Execution: Support the roll-out of digital giving campaigns (e.g., healthcare specialty funds, annual system campaigns, and Giving Tuesday) using digital donation and CRM tools (such as Blackbaud Raiser's Edge/NXT, Classy, or similar). • Donor Communications & Analytics: Draft compelling digital copy for monthly e-newsletters and digital stewardship outreach. Monitor, analyze, and report on digital campaign performance and social engagement metrics to optimize donor conversion.

Education Qualifications

  • Required - Associates Degree Business Administration
  • Preferred - Associates Degree Communications
  • Preferred - Associates Degree Marketing
  • Preferred - Associates Degree Public Relations
  • Preferred - Associates Degree Non-Profit Administration

Experience Qualifications

  • Required - Minimum of three years of experience combining high-level executive administrative support (supporting C-suite or VP-level leaders) with hands-on experience managing digital marketing, social media, or online fundraising campaigns.
  • Preferred - Experience in a Non-profit or healthcare environment.

Skills and Abilities

  • Advanced proficiency in Microsoft Office 365 (Teams, Outlook, Word, Excel, PowerPoint).
  • Hands-on experience with fundraising databases (e.g., Raiser's Edge) and digital content/marketing tools (Canva, email marketing software, social media schedulers).
  • A strong collaborative mindset suited for a centralized Shared Services environment, with the ability to manage competing priorities from executive support to team-wide digital initiatives.
  • Ability to interface comfortably with major donors, physicians, and health system executives.
  • Demonstrated interpersonal verbal and written communication skills including being proficient in spelling, punctuation, grammar, and other English language skills.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy to ensure deadlines are met by prioritizing workflow.
  • Ability to manage confidential information with discretion.
  • Knowledge of (or willingness to train extensively on) HIPAA compliance regarding patient and donor privacy.
  • Demonstrated ability to take initiative, anticipate needs and determine urgent matters that require attention.
  • Ability to operate standard office equipment.

Physical Demands
