Position Summary
A Southeastern infrastructure company is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Senior Vice President of Information Technology. This role combines executive-level administrative support with office management and operational coordination responsibilities. The ideal candidate will serve as a trusted partner to IT leadership, ensuring efficient day-to-day operations while enabling the SVP and IT team to focus on strategic initiatives. Responsibilities include calendar management, travel coordination, office administration, accounts payable support, vendor management, and special project coordination.

Key Responsibilities
Executive Administrative Support
  • Serve as the primary administrative support resource for the SVP of Information Technology.
  • Manage complex calendars, schedule meetings, and coordinate executive communications.
  • Prepare, edit, and distribute presentations, reports, meeting materials, and other business documents.
  • Handle confidential and sensitive information with professionalism and discretion.
Office Management & Operational Support
  • Oversee daily office operations to maintain an organized, productive, and professional work environment.
  • Coordinate receipt, inventory tracking, distribution, and organization of IT hardware and equipment.
  • Manage office and breakroom supplies, monitor inventory levels, and coordinate replenishment.
  • Serve as the primary contact for office vendors, service providers, and facility-related needs.
  • Support office logistics, team events, and workplace initiatives.
Accounts Payable & Financial Administration
  • Process accounts payable activities, including invoice review, coding, tracking, and vendor communications.
  • Assist with expense management and financial administrative tasks.
  • Maintain accurate records and ensure timely processing of payments and documentation.
Travel & Logistics Coordination
  • Coordinate business travel arrangements, including airfare, lodging, transportation, and itineraries.
  • Prepare and submit expense reports.
  • Troubleshoot and resolve travel-related issues as they arise.
Special Projects
  • Assist with office expansions, equipment deployments, operational initiatives, and other departmental projects.
  • Conduct research and provide administrative support for special assignments.
  • Partner with IT leadership to support ongoing business and operational objectives.
Qualifications
Required Qualifications
  • Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and common business applications.
  • High level of professionalism, discretion, and confidentiality.
  • Strong attention to detail and problem-solving abilities.
Preferred Qualifications
  • Experience supporting senior executives and leadership teams.
  • Previous office management experience.
  • Accounts payable, invoice processing, or financial administrative experience.
  • Experience working in an IT or technology-focused environment.
  • Vendor management and procurement experience.
  • Familiarity with ERP, accounting, expense management, or procurement systems.
  • Ability to adapt quickly in a fast-paced, evolving environment.
