Job Title: Executive Assistant
Location: Ewing, New Jersey
Type: Contract
Compensation: $40 -55 hourly based on experience
Work Model: Hybrid – onsite and remote
Hours: Monday - Friday 8:30- 4:30, Currently in Summer hours until Labor Day. Summer Hours: Monday - Thursday- work an additional 30 minutes each day, Friday- work until 1 PM
Responsibilities:
- Assist with calendar coordination, scheduling logistics, and meeting preparation for internal and external meetings, as directed by the Executive Assistant to the CEO.
- Assist with travel planning and logistics, including itinerary preparation, transportation coordination, hotel arrangements, and related follow-up, as needed.
- Prepare and process expense reports in a timely and accurate manner using Concur.
- Use Microsoft Office 365 tools to prepare, revise, format, and organize documents, presentations, spreadsheets, and other materials as needed.
- Maintain office equipment and supplies, distribute mail, and assist with general office coordination.
- Assist with centralized administrative projects and provide coverage for the Executive Assistant to the CEO, including follow-up on routine requests, meeting logistics, and time-sensitive administrative tasks.
- Provide additional administrative support for special projects, overflow work, and other time-sensitive requests as priorities shift.
Requirements:- High School Diploma with 3+ years of related administrative experience, or BS/BA with related experience.
- Proficiency with automated calendar management tools, including Outlook, and Microsoft Office 365 applications.
- Excellent communication skills, sound judgment, and the ability to manage shifting priorities, stay organized, and work effectively with colleagues at all levels.
- Ability to build effective working relationships with key internal and external stakeholders while maintaining professionalism, confidentiality, and discretion.
- Experience supporting executives or working in a fast-paced corporate office environment preferred.
