Job Details

Our client, a fast-paced plaintiff personal injury law firm, is seeking a highly organized and professional Executive Assistant / Bilingual Administrative Assistant to support the Founding Partner and help manage the day-to-day operations of the office. This role is ideal for someone who thrives in a busy legal environment, can juggle multiple priorities, and is comfortable serving as a key point of contact for clients, staff, courts, and outside vendors.

Responsibilities
Manage the Founding Partner’s calendar, including scheduling meetings, court appearances, appointments, and travel.
Oversee and maintain the firm’s office calendar to ensure efficient coordination of deadlines, meetings, and events.
Communicate professionally with clients, attorneys, staff, courts, and vendors in both English and Spanish.
Prepare correspondence, meeting materials, and other administrative documents as needed.
Screen and manage incoming calls, emails, and other communications, ensuring timely follow-up and organization.
Coordinate meetings, track action items, and assist with follow-up to keep matters moving efficiently.
Maintain strict confidentiality while providing high-level administrative and executive support to the Founding Partner and firm leadership.

Qualifications
Minimum of 2 years of experience as an Executive Assistant or in a similar executive support role.
Fluency in both English and Spanish, including strong written and verbal communication skills, is required.
Prior experience in plaintiff personal injury is strongly preferred.
Excellent organizational, time management, and multitasking skills with the ability to manage competing priorities.
Strong attention to detail and the ability to work with professionalism, discretion, and sound judgment.
Comfortable working in a fast-paced environment and supporting a high-volume legal practice.
