Role Overview
The Executive Assistant to the CEO is responsible for managing the day-to-day administrative operations for the CEO; keeping the CEO focused on SOCOSIX’s highest priorities. This role will support the CEO by executing tasks, solving problems, and supporting all executive administrative needs.
Requirements • A bachelor’s degree in business administration, or related field, and two years of administrative experience or four years’ experience supporting executives or upper-level management in the professional services industry
• Advanced communication and interpersonal abilities
• Ability to handle sensitive and confidential matters with discretion
• Demonstrated ability in proactively identifying and solving problems before they arise
• Demonstrated expertise in calendar management and event planning
• Experience in travel coordination and logistics management
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
• High level of integrity and professionalism
• Exceptional organizational and time management skills
General Responsibilities• Identify the preferred method of support for the CEO and appropriately accommodate their working style
• Manage the CEO’s calendar and correspondence; resolve scheduling conflicts timely, and keep the CEO informed of changes and updates
• Screen incoming calls and emails and respond as needed
• Assist the CEO with preparing for meetings, including scheduling meetings, setting up telephone or video conferences, preparing and distributing materials, and arranging catering
• Greet and assist planned guests and manage unplanned visitors; screening and directing them as needed
• Lead end-to-end planning for executive offsites, staff, and all-hands meetings, overseeing communication and follow up activities
• Prepare, update, and organize information for inclusion in reports and presentations
• Attend and participate in select meetings, including managing agendas, taking notes, and following up on assigned action items
• Arrange domestic and international travel, including transportation, accommodations, and itineraries based on CEO’s travel needs and preferences. Complete related expense reports.• Maintain organized and accessible digital and physical files
• Assist in managing special projects, conducting research, and providing administrative support for initiatives
•Interface with internal and external stakeholders as directed, including clients, employees, and other executives on behalf of the CEO
• Maintain the integrity and confidentiality of internal information, financial records, databases, and sensitive documents
• Determine what requires the CEO’s attention and what can be handled independently
