The Executive Assistant Development, Foundation assists executives (and team members) with administrative, scheduling and clerical matters and coordinates the activities of the office through communication with staff from various corporate and division-level departments, board members, medical staff, support services, donors, prospects, and team members.

 

Position will include quarterly travel to board and donor meetings.

Responsibilities:

A day in the life of a Executive Assistant Development, Foundation at Hackensack Meridian Health includes:

 

  • Schedules appointments, meetings or conferences for departmental personnel utilizing interdepartmental and/or hospital wide computerized scheduling systems.
  • Entering and tracking of contact reports in donor database.
  • Preparation of expense reports and travel authorizations.
  • Prepares and files routine and advanced correspondence including letters, memoranda, and reports.
  • Coordinates special projects as instructed, composes memos, transcribes notes, and researches and creates presentations.
  • Manages all board meetings logistics, including scheduling, preparing, and distributing agendas and materials, and recording, distributing, and maintaining the minutes.
  • Coordinates the planning and execution of fundraising and donor cultivation events, including managing logistics such as venue, catering, presentation setup, materials, and overseeing the event.
  • Generates reports, handles multiple projects, and prepares and monitors invoices and expense reports.
  • Ordering and coordination of small gifts/gift baskets for donors (holidays, etc.).
  • Reviews and distributes daily mail correspondence to appropriate personnel.
  • Orders office supplies and maintains inventory.
  • Demonstrate perseverance while adhering to the highest ethical standards, demonstrating an optimistic, positive, and professional attitude in all interactions.
  • Available to travel between multiple sites as needed for board meetings, events, etc.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.
Qualifications:

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Minimum of seven (7) years experience in a related field.
  • Commitment to building a strong culture of philanthropy with a diplomatic approach.
  • Demonstrate knowledge of databases and spreadsheets.
  • High level of energy, enthusiasm and dedication to the mission of Hackensack Meridian Health. 
  • Strong organizational skills.
  • Ability to work successfully in a fast-paced environment while managing multiple assignments and priorities.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Google Suite and/or Microsoft Office platforms.

Education, Knowledge, Skills and Abilities Preferred:

  • Associates or Bachelor's degree.
  • Experience with Blackbaud system to maintain donor records, Raiser's Edge and/or other fundraising/CRM management software.
  • Prior health care experience and/or foundation experience.
