We are seeking a highly organized, proactive, and professional Executive Assistant to provide high-level administrative support to senior leadership. The ideal candidate will excel in managing complex calendars, coordinating meetings and travel, handling confidential information, and ensuring the efficient operation of executive offices. This role requires exceptional communication skills, attention to detail, and the ability to prioritize multiple responsibilities in a fast-paced environment.

Key Responsibilities

  • Manage complex executive calendars, coordinate meetings, and prioritize scheduling requests.

  • Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries.

  • Prepare correspondence, reports, presentations, meeting agendas, and executive communications.

  • Serve as a liaison between executives, internal teams, clients, vendors, and external stakeholders.

  • Coordinate executive meetings, board meetings, and special events, including logistics, materials, and follow-up action items.

  • Maintain confidential business information and sensitive personnel records with the highest level of discretion.

  • Screen phone calls, emails, and inquiries, ensuring timely responses and resolution.

  • Assist with expense reporting, budget tracking, invoice processing, and financial documentation.

  • Organize and maintain electronic and physical filing systems, contracts, and corporate records.

  • Support special projects, process improvements, and cross-functional initiatives as assigned.

Qualifications

  • Associate's or Bachelor's degree preferred.

  • 3+ years of Executive Assistant, Senior Administrative Assistant, or related experience.

  • Experience supporting C-level executives or senior leadership teams.

  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.

  • Excellent organizational, time management, and multitasking abilities.

  • Exceptional verbal and written communication skills.

  • Ability to maintain confidentiality and exercise sound judgment.

  • Strong problem-solving skills and attention to detail.

  • Experience coordinating travel, meetings, and executive events.

Preferred Qualifications

  • Experience with CRM systems, HR administration, payroll support, or project coordination.

  • Experience managing multiple priorities in a fast-paced corporate environment.

  • Familiarity with expense management, contract documentation, and compliance reporting.

Pay Details: $55,000.00 to $80,000.00 per year
