Our client specializes in immigration court defense, immigration family practice, and criminal defense often linked to immigration cases. They are committed to providing high-quality legal services and advocating for their clients' rights.
Job Description
Our client is seeking a bilingual, proactive, and highly organized Executive Assistant to support senior leadership within a fast-paced law office. This role is ideal for a tech-savvy professional who excels at managing administrative operations, optimizing workflow through technology, and playing a key role in the implementation of office policies and procedural updates.
Key Responsibilities
Provide high-level administrative support to the managing attorney, including calendar management, meeting coordination, travel arrangements, and correspondence.
Draft, proofread, and format legal documents, reports, and internal communications.
Manage confidential information with discretion and professionalism.
Identify opportunities to improve operational efficiency and implement new technologies or systems to streamline office processes.
Lead the rollout of policy updates and procedural changes; ensure compliance and staff alignment.
Maintain and update filing systems, client databases, and internal tracking tools using case management and document automation software.
Troubleshoot technical issues and oversee software implementations or upgrades.
Support onboarding and training of new staff on internal systems and updated policies.
Qualifications
3+ years of experience in an Executive Assistant or Legal Assistant role, preferably in a law firm or professional services environment.
Strong proficiency with Microsoft Office Suite, document management systems, and cloud-based collaboration tools (e.g., SharePoint, Clio, NetDocuments, or similar platforms).
Proven ability to lead or support the implementation of office-wide initiatives, including tech upgrades and policy changes.
Excellent written and verbal communication skills.
Strong attention to detail, problem-solving ability, and a proactive mindset.
Discretion and professionalism in handling sensitive information.
Bilingual in Spanish & English is preferred.
Preferred
Experience supporting senior leadership or managing cross-departmental projects.
Familiarity with legal terminology and court filing procedures.
