Executive Assistant to the C-Suite

We are seeking a highly experienced and polished Executive Assistant to provide proactive, strategic support to two to three C-level executives within a fast-paced, multi-brand organization. This role serves as a trusted business partner to senior leadership, helping executives operate at peak effectiveness within a complex and dynamic environment.

The ideal candidate is a seasoned Executive Assistant with exceptional judgment, professionalism, and executive presence. This individual thrives in high-visibility environments, anticipates needs before they arise, and expertly manages competing priorities while maintaining the highest level of discretion and confidentiality.

Key Responsibilities

Executive Support

  • Serve as a trusted strategic partner to assigned executives by proactively managing priorities, anticipating needs, and helping drive efficient decision-making and execution.
  • Provide comprehensive executive support including calendar management, travel coordination, expense reporting, meeting preparation, records management, and follow-up tracking.
  • Exercise sound judgment in prioritizing executive time, meeting requests, and communications while adapting to shifting priorities and business demands.
  • Coordinate complex domestic and international travel arrangements, itineraries, and logistics while collaborating closely with other Executive Assistants across the organization.

Calendar & Meeting Management

  • Manage highly complex calendars involving multiple stakeholders, leadership meetings, Board-related activities, and external engagements.
  • Partner with Executive Assistants and cross-functional teams to resolve scheduling conflicts, align priorities, and ensure seamless coordination across brands and departments.
  • Prepare executives for meetings by organizing agendas, briefing materials, presentations, talking points, and pre-read documentation.

Communications & Administrative Support

  • Review and prioritize high-volume communications and correspondence, drafting responses and materials while maintaining executive voice and professionalism.
  • Create, edit, and finalize executive-level presentations, reports, meeting summaries, status updates, and internal/external communications.
  • Handle highly confidential information with discretion, including matters related to business strategy, personnel, compensation, and Board activities.

Cross-Functional Coordination

  • Build strong working relationships with senior leaders, administrative teams, and business partners across the enterprise.
  • Support enterprise-wide initiatives, leadership meetings, and strategic projects by coordinating timelines, deliverables, and communications.
  • Maintain and align corporate and leadership calendars to ensure consistency and collaboration across the organization.

Meetings & Event Logistics

  • Coordinate executive meetings, leadership forums, offsites, and special events, including logistics, catering, materials preparation, room setup, and post-meeting follow-up.
  • Attend select meetings as needed to capture accurate meeting notes, action items, and key decisions.

Qualifications

  • 10+ years of progressive executive administrative experience supporting C-suite or senior executive leadership within a large, complex organization.
  • Experience supporting multiple senior executives with varying leadership styles, priorities, and functional responsibilities.
  • Prior experience within retail, consumer products, or other fast-paced, brand-driven environments strongly preferred.
  • Exceptional organizational, prioritization, and multitasking skills with the ability to manage competing deadlines in a dynamic environment.
  • Strong business acumen with the ability to understand enterprise priorities and organizational interdependencies.
  • Demonstrated ability to anticipate needs, solve problems proactively, and operate independently with minimal direction.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.
  • Excellent written and verbal communication skills with the ability to interact confidently and professionally with executives, Boards, and external partners.
  • Proven ability to maintain confidentiality, professionalism, and sound judgment in handling highly sensitive information.
  • High level of emotional intelligence, adaptability, executive presence, and interpersonal effectiveness.
  • Strong reputation for accountability, accuracy, reliability, and follow-through in high-visibility environments.
