Job Summary:

The Executive Assistant will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization while providing high-level administrative support to the President, CEO, and other senior staff.

Duties/ Responsibilities: 

  • Provide high-level administrative support and assistance to the President, CEO, and/or other assigned leadership staff.
  • Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location. Ensures a positive, hospitable experience for visiting clients and guests.
  • Set and maintain a pace for the company that ensures you meet the needs of both internal and external customers.
  • Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
  • Assists with coordinating meetings, conferences, events, and the training room calendar.
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Ensures the President's office, reception area, office environment, and training room are clean, safe, and conducive to productivity. Maintains a bright, welcoming, aesthetic, clean, and organized environment where meetings can be conducted.
  • Performs administrative and clerical support tasks such as answering phones, managing outgoing mail, mailings with the use of stamped received, and preparing documents as needed.
  • Collect the President's receipts and other expenses as identified and report to accounting.
  • Updates PowerPoint in the reception area monthly.
  • Performs additional duties as assigned by executives.
  • Update the bulletin board monthly
  • Maintain the training room: emptying the trash, humidifier, keeping water stocked, and cleaning the bathroom.
  • Prepares the slides for the monthly company-wide meeting.
  • Performs additional duties as assigned by executives.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail with the ability to multi-task.
  • Excellent time management skills with proven ability to meet deadlines.
  • Excellent interpersonal and customer service skills.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Maintain confidentiality of sensitive information.
  • Self-motivated, energetic, positive attitude, helpful, and strong organizational and planning skills.
  • Proficient with Microsoft Office Suite or related software.

Education and Experience:

  • High school diploma or equivalent required.
  • Previous office experience required.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must frequently lift and/or move up to 25 pounds.
