Executive Assistant - Human Resources: LTOD

The Executive Assistant - Human Resources: LTOD (Learning, Talent, and Organizational Development) performs a wide range of functional and administrative support to an executive member and their management team and staff. This position is an experienced support individual contributor working under general supervision and guidance, who executes tasks that are typically routine, with some deviation from standard practice.

Essential Job Functions:

  • Manages complex calendars and communicates with relevant stakeholders to plan and coordinate meetings and speaking engagements.
  • Drafts and edits routine correspondence, reports, and forms, and handles incoming and outgoing correspondence.
  • Prepares executive-level presentation materials, meeting minutes, status updates, and action items when appropriate, for internal and external meetings.
  • Makes travel arrangements and prepares itineraries and travel expense reports.
  • Creates, runs, and maintains various reports, including technology roadmap updates, relating to the functional areas. Performs mid-level analysis of data as requested.
  • Supports Human Resources leadership team with agendas, team meetings, and on-site activities and programs.
  • Collaborates with management to identify improvements to administrative processes and best practices to ensure continued efficiency and effectiveness.
  • Demonstrates FINRA's values.
  • Collaborates, both in-person and virtually, in furtherance of FINRA's mission of investor protection and market integrity

Education/Experience Requirements:

  • High school diploma and a minimum of eight (8) years of related administrative or operational experience.
  • Experience providing administrative or operational support to a senior executive
  • Proficiency in Microsoft applications and desktop applications and an ability to effectively navigate multiple applications and systems.
  • Strong verbal and written communication skills and interpersonal and organizational skills.
  • Ability to accurately facilitate the timely execution of assignments.
  • Ability to work with sensitive and confidential information.
  • Ability to multi-task and work independently.
Working Conditions:
  • Hybrid work environment, with defined in-person presence requirements.
  • Work environment includes high productivity expectations and tight deadlines.
  • Travel will be required, as necessary.
