Title: Executive Administrative Assistant
Duration: 6 Months with Possible Extension
Location: Stamford, CT onsite 2–3 days
 

Must Have Skills

  • 7+ years of experience as an Executive Administrative Assistant
  • Minimum 2 years of experience with Coupa/Supplier Management
  • Minimum 2 years of experience supporting senior-level executives in a corporate environment
  • Minimum 4 years of experience working with Microsoft Outlook, PowerPoint, Word, and Excel

Job Summary

We are seeking an experienced Executive Administrative Assistant to provide high-level administrative support to senior leadership in a fast-paced corporate environment. The ideal candidate will possess exceptional organizational, communication, and multitasking skills, with the ability to manage executive calendars, coordinate travel, support supplier management activities, and handle confidential information with professionalism and discretion.

Key Responsibilities

  • Provide administrative support to multiple senior executives.
  • Manage complex executive calendars, schedule meetings, and coordinate appointments.
  • Arrange domestic and international travel, including flights, accommodations, and meeting logistics.
  • Prepare and reconcile travel and expense reports and purchase card transactions.
  • Process purchase orders, invoices, statements of work, and vendor payments through Coupa.
  • Support supplier management and accounts payable processes.
  • Coordinate internal and external meetings, conferences, and corporate events.
  • Prepare presentations, reports, and business documents using Microsoft Office applications.
  • Maintain department calendars, meeting materials, and documentation.
  • Communicate professionally with internal teams, external partners, and leadership.
  • Handle confidential information with a high degree of integrity and discretion.
  • Assist with special projects and additional administrative responsibilities as assigned.

Required Qualifications

  • 7+ years of experience as an Executive Administrative Assistant.
  • Minimum 2 years of experience supporting senior-level executives in a corporate environment.
  • Minimum 2 years of experience using Coupa or similar supplier management software.
  • Minimum 4 years of experience with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • High attention to detail and strong problem-solving abilities.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Demonstrated professionalism, discretion, and ability to maintain confidentiality.

Preferred Qualifications

  • Experience with supplier management and Accounts Payable processes.
  • Proficiency with Microsoft Teams, Nitro Pro, and travel & expense management tools.
  • Experience coordinating executive meetings, events, and travel logistics.
  • Strong interpersonal skills with a customer-service mindset.
  • Ability to thrive in a dynamic, fast-paced corporate environment.
