A leading digital streaming network seeks an Executive Assistant I to provide administrative support to three senior executives across creative, marketing, and media planning.
Executive Assistant Responsibilities:
Manage complex calendars for three VPs, scheduling across internal teams, senior executives, agencies, production partners, and external stakeholders, prioritizing and resolving conflicts while protecting focus time, and coordinating meetings, agendas, conference rooms, video calls, and materials, including preparing executives with relevant information, decks, documents, and talking points.
Manage travel logistics, itineraries, last-minute changes, and expense reports for the executives, serving as a professional and trusted point of contact for internal and external partners and handling sensitive and confidential information with discretion.
Support the logistics behind campaigns, show launches, tentpoles, key art, shoots, presentations, and other marketing initiatives, coordinating meetings and materials across Creative, Media Planning, Programming, Publicity, Social, Production, and external agencies, and organizing creative reviews and approval meetings with the right stakeholders and materials.
Support PowerPoint decks, presentations, and executive-facing materials as well as Excel data management tasks, maintain organized folders, contact lists, and project documentation, and support special projects as needed.
Act as a connector between executives, their teams, and cross-functional partners by following up on action items, keeping stakeholders informed, drafting communications, meeting recaps, reminders, and follow-ups, and knowing when to handle issues independently or escalate them.
Executive Assistant Qualifications:
5+ years of experience supporting senior executives, preferably within entertainment, media, advertising, marketing, creative, or a similarly fast-paced industry.
Proficiency with Microsoft Office/365, including PowerPoint, Outlook, Teams, and Excel, and common project management/collaboration tools.
Strong understanding of the network's audience and the cultural nuances that inform its brand and creative work.
Entertainment/media industry experience is preferred.
Shift:
9:00 AM to 6:00 PM.
OT is possible up to 5 hours/week during the busy season, which may include after-hours or weekends.
