Our client, an established investment firm based in New York City, is seeking an experienced Executive Assistant to support a senior executive and broader team. This is a fast-paced role combining traditional executive support with Investor Relations assistance and relationship management. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing a high volume of competing priorities while working closely with senior executives, external stakeholders, and internal teams.
RESPONSIBILITIES:
Provide high-level administrative support to an executive and broader team
Manage complex calendars and coordinate internal and external meetings
Coordinate complex domestic and international travel, accommodations, and logistics for meetings and conferences
Manage and maintain the CRM platform, including updates, meeting tracking, reporting, and other relevant information
Support Investor Relations initiatives, including organizing and maintaining materials and documentation
Coordinate external events, including preparation and follow-up
Process expenses
Collaborate with senior executives, external stakeholders, and internal teams
Handle highly confidential and sensitive information with discretion
Assist with ongoing additional administrative needs and special projects as needed
REQUIREMENTS:
Prior executive administrative experience — within an investment environment or similarly fast-paced professional setting is a plus
Bachelor’s Degree or equivalent
Proficiency in Microsoft Office Suite, particularly Outlook
Experience working with CRM platforms preferred
Proven ability to manage a high volume of concurrent requests in a fast-paced environment while maintaining strong attention to detail
Highly organized with strong prioritization skills and the ability to manage competing demands in real time
Proactive and resourceful, with the ability to anticipate needs, and take initiative
Strong written and verbal communication skills
Comfortable learning and adopting new technology and tools to improve efficiency
Collaborative, positive, can-do attitude with a high level of responsiveness and commitment
SALARY:
$125–175K DOE + Discretionary Bonus + Benefits + 401K
HOURS:
9:00/9:30am–6:00/6:30pm (DOE) + Flexibility as needed!
