Our client, a well-established nonprofit organization in Orange County, is seeking a detail-oriented and highly organized Executive Assistant to provide administrative, operational, and payroll support to their Chief Executive Officer and broader executive team. This is a pivotal role that connects leadership with daily operations and serves as the key administrative point of contact between staff and their fractional Chief Human Resources Officer (CHRO). The ideal candidate thrives in a fast-paced nonprofit environment, brings strong business acumen, and can seamlessly manage competing priorities with professionalism and discretion.
Essential Functions and Responsibilities
- Oversee the CEO's calendar by scheduling meetings, coordinating with internal and external stakeholders, and maximizing time efficiency
- Prepare board meeting materials including agendas, minutes, briefing documents, and follow-up communications; track action items and ensure accountability
- Process bi-weekly payroll using Paylocity, including timesheet verification, payment processing, benefits administration, employee inquiries, and compliance oversight
- Act as the primary liaison between staff and the fractional CHRO, facilitating HR communications and administrative support
- Handle day-to-day administrative functions such as correspondence, data entry, document management, and recordkeeping, maintaining strict confidentiality at all times
- Support executive-led special projects and initiatives as needed
Qualifications
- Minimum 3 years of Executive Assistant experience
- Proficiency in Paylocity or comparable payroll software, or a strong ability to learn
- Exceptional written and verbal communication skills
- Strong organizational and time management abilities with the capacity to handle multiple priorities simultaneously
- Demonstrated business acumen and understanding of organizational operations
- Proficiency in Microsoft Office Suite and a high degree of initiative and independent judgment
- Ability to handle sensitive information with the utmost discretion
- Payroll experience or certification preferred
- Background in the nonprofit sector preferred
- Familiarity with HR systems and practices preferred
- Experience supporting a Board of Directors preferred
Salary: $30.00 - $33.00/hr.
