Executive Assistant

At NAVEX, we're making the world a better place. A safer place. A more ethical place. A place where anyone, anywhere can have a voice. That's a serious impact.

Our high-performance culture is driven by our values. We move with speed, passion and purpose — asone team. We are bold in our ideas, accountable in our actions, and committed to doing the right things right.

We are seeking a proactive, highly organized, and efficient Executive Assistant to support multiple senior executives in a fast-paced environment. The ideal candidate will have a proven track record of managing competing priorities, handling sensitive information with discretion, and facilitating smooth operations across various administrative functions. This role requires strong communication skills, the ability to anticipate needs, and an aptitude for problem-solving in high-pressure situations.

At NAVEX, you will work in a hybrid role and thrive alongside an engaged and collaborative team invested in supporting your success!

What you'll get:

  • Meaningful Purpose. Your work helps organizations operate with integrity and protect their people—at a scale few companies can match.
  • High-Performance Environment. We move with urgency, set ambitious goals, and expect excellence. You'll be trusted with real ownership and supported to do the best work of your career.
  • Candid, Supportive Culture. We communicate openly, challenge ideas—not people—and value teammates who embrace bold thinking and continuous improvement.
  • Growth That Matters. You can count on authentic feedback, strong accountability, and leaders invested in your success so you can achieve real growth.
  • Rewards for Results. We provide clear, competitive compensation designed to recognize measurable outcomes and real impact.

What you'll do:

  • Provide high-level administrative support to multiple executives, including calendar management, meeting coordination, and travel arrangements
  • Efficiently manage complex calendars, schedule meetings, and coordinate events, ensuring minimal conflicts and maximum use of time
  • Arrange travel logistics, including flights, accommodations, and ground transportation, preparing detailed itineraries and ensuring travel runs smoothly
  • Act as the first point of contact for internal and external stakeholders, including responding to emails, phone calls, and requests on behalf of executives
  • Draft, edit, and proofread correspondence, presentations, reports, and other documents, ensuring timely delivery of materials
  • Coordinate logistics for meetings, including setting up conference calls, video conferencing, catering, and managing venue arrangements
  • Assist with various projects by tracking deadlines, gathering resources, and coordinating follow-up actions to ensure project milestones are met
  • Handle sensitive and confidential information with professionalism and integrity, ensuring executives are well-prepared for strategic decision-making
  • Anticipate needs and solve problems proactively to ensure the smooth day-to-day operations

What you'll bring:

  • 5+ years of executive assistant experience, preferably supporting multiple executives or senior leaders in a fast-paced or corporate environment.
  • Exceptional multitasking, organizational and time-management skills with the ability to manage competing priorities and deadlines
  • Strong verbal and written communication skills
  • High level of professionalism and discretion in handling confidential information
  • Proficiency in MS Office Suite and collaboration tools (e.g., Teams, Slack)
  • Comfortability adjusting to changing priorities and embracing challenges with a positive attitude
  • Excellent relationship building skills, with the ability to interact with stakeholders at all levels
  • Culture Agility. Comfort working in a fast-paced, candid environment that values innovation, healthy debate, and follow-through
  • AI Readiness. Curiosity and willingness to use AI and emerging technologies to elevate your work and deliver smarter outcomes
  • Fuel performance and outcomes. Leverage your job competencies and champion NAVEX's core values

Our side of the deal:

  • We'll be clear, we'll move fast, and we'll invest in your success. You deserve to be supported, challenged, and rewarded for the impact you make—and we commit to doing that every step of the way.
  • The starting pay for this role is $95,000 per annum. Discover how you can grow, lead, and make an impact by visiting our career page to learn more. NAVEX is an equal opportunity employer committed to including individuals of all backgrounds, including those with disabilities and veteran status.
