As we continue to grow, We are seeking an Executive Assistant to provide high-level support across executive operations, marketing, employee coordination, administration, and personal assistance.
This is a dynamic, hands-on role for someone who thrives in a fast-paced environment and enjoys variety. You may spend part of the day preparing a presentation for leadership, coordinating a marketing initiative, following up with employees on outstanding tasks, organizing an executive's schedule, and handling an important errand.
The ideal candidate is a highly organized self-starter who takes ownership, anticipates needs, follows through, and does not need to be constantly reminded of what needs to happen next.
Key Responsibilities:
Executive & Operational Support
- Work closely with leadership to manage priorities, schedules, meetings, appointments, and deadlines.
- Prepare polished presentations, reports, proposals, meeting materials, and other business documents.
- Take meeting notes, document action items, and ensure appropriate follow-up.
- Track key projects and outstanding items on behalf of leadership.
- Draft correspondence and assist with communications as needed.
- Conduct research and compile information to support projects and decision-making.
- Assist leadership with special projects and business initiatives.
Employee & Team Coordination
- Help leadership oversee and keep track of employees' day-to-day responsibilities and deliverables.
- Follow up with employees regarding assignments, deadlines, and outstanding tasks.
- Maintain internal trackers, schedules, checklists, and accountability systems.
- Assist with employee onboarding, training coordination, and internal processes.
- Serve as a point of coordination between leadership and the wider team.
Marketing & Brand Coordination
- Coordinate Artemis Health's day-to-day marketing activities and initiatives.
- Assist with developing and executing social media and digital marketing content.
- Coordinate the creation of marketing materials, presentations, flyers, brochures, newsletters, and other collateral.
- Coordinate community outreach, networking events, referral marketing, and business development initiatives.
Executive & Personal Assistance
This position will also provide occasional personal assistance to members of the leadership team where doing so helps them manage their time and responsibilities effectively. Responsibilities may include:
- Coordinating personal appointments and reservations.
- Picking up or dropping off dry cleaning, packages, documents, or other items.
- Running occasional local errands.
- Handling miscellaneous time-sensitive requests.
Personal assistance is a supporting component of the position and not the primary focus of the role.

Experience:
- Previous experience in executive support, operations, marketing, project coordination, office management, or a similar role.
- Strong proficiency in Microsoft Office and Google Workspace.
- Strong writing, proofreading, research, and organizational skills.
- Healthcare experience is beneficial but not required.
- Valid driver's license and reliable transportation for occasional local errands.
