Job Title: Executive Assistant
Location: Ballou Hall, Medford, MA 02155 (Onsite)
Duration: 6 Months
Schedule: First Shift (40 Hours per Week)


Position Summary
The Executive Assistant will provide high-level administrative, operational, and project support to the Executive Vice President's Office. This role is responsible for supporting executive-level committees, strategic initiatives, leadership communications, and organizational planning efforts. The ideal candidate will possess exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced, collaborative environment.
Key Responsibilities
Executive & Administrative Support
  • Provide comprehensive administrative and operational support to the Executive Vice President's Office.
  • Draft, edit, and distribute executive communications and correspondence.
  • Maintain executive materials, templates, records, and website content.
  • Support executive calendar management, scheduling, and annual planning activities.
  • Prepare briefing materials and meeting documentation for executive leadership .
Committee & Meeting Coordination
  • Coordinate executive-level committees, councils, and leadership meetings.
  • Manage meeting logistics, agenda preparation, presentation materials, and follow-up communications.
  • Distribute meeting materials and maintain committee documentation.
  • Track action items and ensure timely completion of follow-up tasks.
Strategic Initiatives & Project Support
  • Support university-wide strategic initiatives, governance processes, and organizational planning efforts.
  • Assist with project management, scheduling, logistics, and execution of special projects.
  • Coordinate activities related to strategic planning, risk management, and institutional initiatives.
  • Monitor project timelines and provide administrative support for time-sensitive initiatives.
Stakeholder Communication & Coordination
  • Serve as a liaison between executive leadership and internal administrative partners.
  • Facilitate communication, approvals, scheduling, and information flow across departments.
  • Coordinate executive search activities, including communication with search firms, candidate scheduling, and logistics.
Documentation & Process Management
  • Maintain organizational charts, shared resources, and executive office documentation.
  • Support annual performance planning processes for executive leadership direct reports.
  • Track timelines, communications, schedules, and deliverables related to performance management activities.
  • Ensure accurate recordkeeping and document management.
Required Qualifications
  • Minimum of 5 years of experience supporting senior executives or managing high-level administrative functions in a complex organization.
  • Demonstrated experience coordinating cross-functional teams and managing confidential information with discretion.
  • Advanced proficiency in Microsoft Office Suite and digital collaboration tools.
  • Strong organizational, communication, and problem-solving skills.
  • Excellent attention to detail and follow-through.
  • Ability to manage multiple priorities and meet competing deadlines in a fast-paced environment.
Preferred Qualifications
  • Experience supporting executive committees, governance bodies, or large-scale organizational initiatives.
  • Experience working in highly collaborative and matrixed environments.
  • Strong project coordination and stakeholder management skills.
