About the Role We're looking for an Executive Assistant to provide high-quality administrative and operational support to our executive leadership team. In this role, you'll help keep priorities organized, communication flowing, and day-to-day execution running smoothly.

Core Responsibilities
Manage complex calendars, scheduling, and meeting logistics for executives. Prepare agendas, materials, notes, and follow-ups for meetings. Act as a trusted point of contact for internal and external stakeholders. Help prioritize requests, track action items, and keep projects moving. Support executive team operations, events, and ad hoc initiatives as needed. Handle confidential information with discretion and professionalism. Maintain detailed calendars, coordinate schedules, prioritize meeting requests and logistics, and arrange all aspects of travel for select executive needs. Manage expenses and administrative workflows. Coordinate internal and external meetings as well as executive meetings and leadership sessions. Help organize materials, schedules, and follow-ups. Assist with recurring leadership rhythms and communication. Support company events, celebrations, leadership meetings, and employee engagement activities. Coordinate venders, venues, catering, RSVPSs, supplies, and communications. Partner with People Operations / Marketing on event planning and execution. Help create consistency in employee-facing experiences. Perform other duties as assigned. This position is non-billable. Non-billable activities include company & team meetings, professional development, community involvement, innovation time, culture & engagement activities, learning, and training.
Preferred Skills & Experience
High school diploma or equivalent required. Experience supporting executives, senior leaders, or busy teams in an administrative or operational capacity. Strong organization, attention to detail, and ability to manage competing priorities. Excellent written and verbal communication skills. Sound judgment, discretion, and comfort handling confidential information. Proactive problem-solving skills and a service-oriented mindset. Ability to work independently, anticipate needs, and follow through reliably. Comfort using common workplace tools for scheduling, communication, documents, and project tracking.
Physical Requirements
Required to stand, walk, and sit. The position may require a visit to project sites occasionally. The position requires a normal range of hearing. The employee must be able to lift 20 lbs. occasionally. Requires prolonged sitting with 15% of the time spent bending and reaching. Must have manual dexterity sufficient to operate a computer keyboard and calculator. Noise levels are consistent with a standard office environment.
