Executive Assistant

The Executive Assistant will provide proactive, high-level administrative support to a few executive leaders within a large operations team. This role plays a key part in managing priorities, coordinating logistics, and ensuring day-to-day efficiency across the team. The Executive Assistant acts as a trusted partner, helping leaders stay organized, prepared, and focused on business objectives.

Key Responsibilities

  • Provide comprehensive administrative support to two leaders, including complex calendar management, prioritization, and scheduling across competing demands
  • Coordinate meetings, conferences, and presentations, including preparing agendas, materials, and logistics
  • Take and organize staff meeting notes, ensuring key updates, action items, and follow-ups are documented and tracked
  • Manage travel arrangements and detailed itineraries, ensuring smooth and efficient execution
  • Prepare, draft, and edit correspondence, reports, and other documentation
  • Collect and interpret data to produce reports and support team needs
  • Maintain strong organization across calendars, communications, documents, and team materials
  • Support special projects and ad hoc initiatives as assigned
  • Serve as a point of coordination to help ensure alignment across leader priorities and team activities
  • Utilize Microsoft Office tools (Word, Excel, PowerPoint, etc.) to create and manage materials

Basic Qualifications

  • High school diploma or equivalent
  • Typically five or more years of experience in administrative and support staff activities

Preferred Skills/Experience

  • Prior administrative experience supporting leaders, including calendar management and scheduling
  • Well-developed reading, writing, and mathematical skills
  • Ability to manage multiple tasks, projects, and deadlines simultaneously
  • Demonstrated administrative and clerical skills
  • Ability to identify and resolve exceptions and interpret data
  • Effective verbal and written communication skills, including strong grammar
  • Proficient computer navigation skills using a variety of software packages, including Microsoft Office

Location expectations

This role requires working from a U.S. Bank location three (3) or more days per week.
