Description

Job Title: Executive Assistant

Company Background: Parkland Properties of Michigan is a real estate development and investment firm with primary operations in West Michigan (and luxury rental properties in Northern Michigan, Aspen, CO, and Miami, FL).

Summary: The Executive Assistant will provide a high level of support to the CEO and COO, manage complex calendars, travel logistics and communications through superior attention to detail and professionalism while managing multiple competing priorities through a high level of confidentiality, integrity and discretion.

Duties and Responsibilities:
  • Serve as a point of contact for executive inquires. Screen calls, emails and visitors to ensure focused use of executive time.
  • Manage schedules and calendars including mail, email, phone calls.
  • Manage CEO's email and assure high priority items are responded to in a timely manner.
  • Ensure all documents, folders, and printing is completed and submitted for review prior to the meetings.
  • Coordinate sophisticated calendars, schedule, resolving scheduling issues and anticipating needs including travel.
  • Arrange detailed itineraries including flights, accommodations, meals and transportation.
  • Prepare and distribute agendas, presentation decks and briefing documents, attend meetings as needed to scribe minutes and actions items.
  • Assist with the day-to-day operations of the office including scheduling appointments and running errands.
  • Discreetly handle financial and personal information; uphold a strict level of confidentiality.
  • Deliver documents as necessary.
  • Ability to work a varied schedule.
  • Other assigned duties.
  • Transporting the CEO and COO to meetings using company provided vehicles.
