Job Title: Executive Assistant
Job Overview:
Contemporary Staffing Solutions is seeking an Executive Assistant to join our client to support senior leadership through high level administrative partnership and operational coordination. This role plays a critical part in enabling efficient decision making by managing complex schedules, communications, and priorities in a fast paced onsite environment. The Executive Assistant will serve as a trusted point of contact while handling sensitive information with discretion and professionalism. This is a permanent, onsite opportunity based in New York, NY.
Compensation:
Up to $130,000 per year
Work Schedule:
Monday through Friday, normal business hours
Key Responsibilities of the Executive Assistant:
  • Provide comprehensive executive support by managing complex calendars, coordinating meetings, and proactively resolving scheduling conflicts with minimal oversight
  • Prepare, organize, and distribute meeting materials, conference details, and virtual meeting logistics while ensuring accuracy and timeliness
  • Manage travel planning and logistics including flights, lodging, transportation, and required documentation such as passports and visas
  • Oversee expense management through Concur by reviewing submissions, reconciling monthly expenses, and ensuring policy compliance
  • Support department operations by managing space and facilities needs, coordinating onboarding logistics, ordering supplies, greeting visitors, and driving process improvements and ad hoc projects to completion
Qualifications and Skills for the Executive Assistant:
  • Five or more years of experience supporting senior executives in a fast paced professional environment
  • Advanced proficiency with Microsoft Outlook and strong overall Microsoft Office skills
  • Excellent written and verbal communication skills with the ability to prioritize, anticipate needs, and exercise sound judgment
  • Demonstrated professionalism, discretion, and ability to handle confidential and privileged information
  • Bachelor's degree preferred or equivalent combination of education and relevant experience, with willingness to work onsite five days per week and travel occasionally for offsites
