Salary/Hourly Rate: $40/hr
Position Overview: The Executive Assistant will provide high-level administrative support to senior executives, managing complex calendars, coordinating travel, preparing meeting materials, and ensuring the seamless day-to-day operation of the executive office. The ideal candidate is poised, resourceful, detail-oriented, and accustomed to supporting executives in demanding financial services environments. This role requires exceptional professionalism, sound judgment, and the ability to handle confidential information with discretion.
Responsibilities of the Executive Assistant:- Manage complex executive calendars and scheduling across multiple time zones.
- Coordinate domestic and international travel, itineraries, and expense reporting.
- Prepare presentations, reports, meeting materials, and executive correspondence.
- Coordinate internal and external meetings, conference calls, and video conferences.
- Serve as the primary point of contact for executives, clients, and business partners.
- Screen communications and prioritize requests on behalf of executives.
- Track action items, deadlines, and follow-up activities.
- Process invoices, expense reports, and vendor payments.
- Maintain confidential files and sensitive business information.
- Assist with special projects and provide administrative support across the Executive team.
Required Experience/Skills for the Executive Assistant:- 5+ years of Executive Assistant experience supporting senior executives.
- Exceptional calendar management and travel coordination experience.
- Strong organizational and project management skills.
- Excellent written and verbal communication abilities.
- Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
- Ability to prioritize multiple high-level responsibilities in a fast-paced environment.
- High level of professionalism, discretion, and attention to detail.
- Strong interpersonal skills with a client-service mindset.
Preferred Experience/Skills for the Executive Assistant:- Experience supporting C-suite executives or Managing Directors.
- Previous experience within private equity, investment management, hedge funds, banking, or financial services is strongly preferred.
- Experience coordinating board meetings, investor meetings, or executive events.
- Familiarity with Concur, Workday, Salesforce, or similar business systems.
Education Requirements:- Bachelor's degree is preferred.
